Our current Client Liaison/Administrative Support Officer is sadly heading off on maternity leave
Never fear, this is not solely a maternity leave coverage role as we plan on offering permanent employment and training with a view to keeping the successful applicant on to move into a Legal Secretary or Paralegal role in the future. As such, a passion or interest for working in the legal industry would be a plus.
The right candidate will possess a desire to interact with and help both clients and lawyers, excellent attention to detail, a keen eye for following processes, the ability to use initiative, employ fantastic problem-solving skills, and the integral ability to be a team player.
Key Duties
Key duties will include:
1. client and third party liaison, including answering phones, directing calls to staff, taking messages, dealing with initial enquiries and booking appointments for clients;
2. invoicing and taking payments, including receipting of payments;
3. booking appointments and diary management for lawyers;
4. office email and document management, including saving to files and forwarding to relevant staff; and
5. other general administrative duties.
The role is full-time - 8.30am (although we can accommodate a later start time for school drop-offs for children) until 5pm daily.
Experience is not essential as long as you have a willingness to learn, be the vibrant face of the business and take pride in providing support to the team and excellent customer service to our clients.
On-the-job training will be provided. We are currently in the process of automating our processes so are learning a new way to do things ourselves. However, salary will be commensurate with experience in the legal industry.
Role Requirements
To qualify, you must have:
1. excellent communication skills, including written communication.
2. good computer literacy;
3. proficiency with the Microsoft Office suite, particularly Word and Outlook;
4. attention to detail;
5. ability to multi-task and prioritise;
6. a friendly and approachable personality; and
7. fantastic problem-solving skills.
