Academic Support Officer at CHES: The Centre for Higher Education Studies
This is an exciting opportunity to join the dynamic admin team at the Centre for Higher Education Studies (CHES).
CHES is an award‐winning, 4‐storey, state‐of‐the‐art facility located at 669 Chapel Street in South Yarra. It offers high‐quality virtual platforms and a range of on‐site spaces such as reception, auditorium, science laboratories, design rooms, recording studio, staffrooms and a rooftop terrace.
Founded in 2023, CHES provides a suite of programmes for senior high‐school students across Victoria, including selective VCE subjects and Higher Education Studies (first‐year university courses that award ATAR points). Students may also access enrichment programmes, masterclasses, expos and professional learning for teachers.

Role
Attendance requirement for this position is Monday to Friday from 8:00 am to 4:00 pm. Time fraction and start date are negotiable.
An education support class position at this range will carry out tasks in accordance with guidelines, accepted practice and school policy under supervision and direction. The role may include coordinating other education support staff within the work area or educational programme.
Key responsibilities include: Assisting teachers, undertaking specific support tasks or coordinating support functions, providing supervised health and wellbeing support, managing routine technical tasks and ensuring accountability for a single function under direction.
Responsibilities
* Act as the VASS Administrator for our small set of VCE subjects, and manage assessment distribution to base schools, including SACs and SATs.
* Support daily attendance management, including handling the attendance phone line, voicemail and email inbox.
* Import data to Cases21.
* Manage unexplained absences and attendance notes.
* Assist with Seminar Day logistics by coordinating with the Wellbeing & Engagement Leaders and teachers to ensure all requirements are met, including attendance tracking, catering and dietary needs, Compass/Funnel communications, administration and any printing or resource ordering.
* Provide enrolment support during peak periods, processing applications, following up on Student Support Services forms from base schools and managing book‐list setup and distribution communications for students enrolled across Victoria.
* Support the organisation of Parent‐Student‐Teacher conferences and Student Enrichment masterclasses.
* Maintain and rotate display cases (excluding Science lab displays managed by the Laboratory Technician).
* Assist with administration for the alumni programme.
* Participate in whole staff and Engagement & Wellbeing Team meetings, as required.
* Oversee the maintenance of professional learning resources and manage kitchen stock for ground floor and top floor kitchenettes. Reset Level 3 study space daily.
* Collaborate with the Admin team on graduation logistics, including invitations, RSVPs, catering, certificates, stock management and event set‐up and pack‐down.
* Vivi screen set‐up for Seminar Days (to welcome students arriving from across Victoria).
* Manage stationery supplies for the Level 3 supply cupboard and coordinate Foodbank orders for student stock.
* Act as backup support for Reception as needed.
* Serve as a First Aid Officer.
* Perform additional duties as directed by the Principal.
