About The Role
A full-time reception role which is a high level of customer service, administrative support, and office coordination for the business.

The Receptionist will be the first point of contact for all guest, meeting & greeting external visitors, answering calls, sorting mail, record keeping, data entry, and performing a variety of other office tasks, e.g. emailing, office housekeeping. Ensuring all administrative processes are completed with the highest level of care and accuracy. In addition, this role will have a focus on providing a confidential, professional, effective, and efficient service in all areas of scope.

Role & Responsibilities

* First point of contact for IPA
* Work effectively within the team on all aspects of the business and develop strong working relationships.
* Build strong working relationships with team members based on credibility and open communication.
* Provide professional customer service to all internal and external customers, including the triage of phone calls to the office reception number, lodging customer complaints for QA, and providing back-up support to Customer Service lines as required.
* Receive, route, and announce incoming calls in a timely and professional manner.
* Retrieve and distribute night switch voice mail messages each morning.
* Coordination of meeting rooms and bookings for office resources.
* Liaise with mail pickup and delivery service provider, daily distribution of mail.
* Organise couriers, receive and dispatch as and when needed.
* Manage the kitchen facilities & stationery and support in monthly ordering
* Assisting with building management issues
* Data entry, typing, filing
* Adhere to the Health and Safety policy, procedures, and systems.
* Participate in undertaking and facilitating health and safety training.
* Other ad hoc duties as and when required.
* Identifying hazards and incidents in the workplace and if not immediately controllable, report and inform hazards and incidents in accordance with policy to relevant persons and management

Skills & Experience:

* 1-2 years' experience in a reception or office administration role in a complex fast-paced workplace environment.
* Experience delivering outstanding administrative and project support and managing a high volume of tasks with competing priorities
* Attention to detail
* Well presented
* High level of emotional intelligence and interpersonal skills with the ability to develop strong working relationships and communicate with employees at all levels from varying backgrounds.
* Strong problem-solving and analytical skills.
* Proactive, professional, and customer-focused approach to all aspects of the role.
* Demonstrate initiative and a commitment to continuous improvement within a team environment.
* Excellent written and verbal communication skills
* An understanding of and complete commitment to confidentiality.
* Excellent skills in Microsoft Office 365 including Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive, Forms, etc.
