About You
3 to 5+ year's experience as an Executive Assistant or Personal Assistant to a Director or senior executive in the financial services industry
Proven track record in a fast-paced finance environment, with a passion for delivering exceptional support and fostering client relationships
Exceptional organisational skills, with the ability to multitask under pressure while maintaining a polished, professional demeanour
Strong communication skills, both written and verbal, to liaise confidently with high-net-worth clients, stakeholders, and team members
Tech-savvy with proficiency in Microsoft Office Suite, CRM systems, and diary/travel tools (e.g., Outlook, Xero, or similar)
A proactive mindset with a keen eye for detail and a genuine interest in streamlining operations for efficiency
Key Responsibilities & Skills
Diary & Time Management: Expertly manage the Director's calendar, prioritising meetings, deadlines, and confidential appointments to ensure seamless daily operations
Travel & Logistics: Arrange domestic and international flights, accommodations, itineraries, and ground transport with precision and cost-effectiveness
Client Support: Act as the first point of contact for VIP clients, handling enquiries, preparing briefing materials, and ensuring a white-glove experience
Event Coordination: Plan and execute client events, workshops, and networking functions, from invitations to on-site management
Project Management: Lead special projects, such as process improvements and system implementations, using your skills to optimise workflows and drive firm-wide efficiencies
Administrative Excellence: Handle correspondence, expense reporting, document preparation, and ad-hoc tasks with confidentiality and accuracy
Office Oversight: Support office operations, including supplier coordination and basic HR admin, with opportunities to evolve into an Office Manager role as they scale
