About the Role
Reporting to the Directorate Administrator, the Course Administrator plays a key role in the effective delivery of administrative services across the Higher Education Directorate. Working under general direction, you will manage complex administrative tasks, provide expert advice to staff and students, and contribute to the continuous improvement of administrative systems and processes. This role may also mentor or coordinate the work of other administrative staff and requires sound judgement, initiative and strong stakeholder engagement.
What You'll Do
* Provide high-level administrative support including correspondence, meetings, events, databases and finance administration
* Manage complex academic administration processes including assessments, placements and student records
* Maintain accurate and compliant record‐keeping systems in line with Institute policies and quality assurance requirements
* Apply advanced proficiency across systems including MS Office, SharePoint, CELCAT, STRATA, Markbook and Moodle
* Support accreditation and re‐accreditation processes, ensuring compliance and accuracy
* Independently prioritise and manage multiple tasks and projects, identifying opportunities for process improvement
* Ensure accurate and up‐to‐date course and program information is available on staff and student portals
* Provide expert advice and high‐quality support to prospective and current students
* Build effective working relationships with academic, administrative and external stakeholders
* Mentor and coordinate administrative activities with other administration staff
What You'll Bring
* Relevant degree or demonstrated experience in complex administrative roles, preferably within a higher education setting
* Advanced administrative and organisational skills, including the ability to manage competing priorities, solve complex problems, and implement process improvements
* Proficient use of student management systems, learning management systems, and the full Microsoft Office Suite
* Demonstrated experience supporting accreditation processes and knowledge of quality assurance frameworks
* Excellent written and verbal communication skills, with the ability to liaise effectively with a wide range of stakeholders
* Ability to work independently under general direction, exercising initiative and sound judgement
* Demonstrated ability to mentor or support administrative staff
* Commitment to confidentiality, ethical practice, and maintaining professional standards
* Knowledge of and commitment to Occupational Health and Safety, Anti‐Discrimination, Equal Opportunity, Quality Assurance and Continuous Improvement principles
Desirable
* Experience working within a higher education or tertiary environment
