With over 25 years of experience, we specialise in the design, manufacture, and installation of water control infrastructure and water management systems. Our innovative solutions in FloodFree flood barriers, intake screens, and water control gates are leading the world towards a more sustainable future.

Due to ongoing growth, AWMA is strengthening its Operations Department with the addition of a dedicated Operations Administrator. This role is central to ensuring our operational teams remain aligned, supported, and equipped with accurate documentation to deliver complex projects on time and to the highest standard.

Location: Cohuna, Victoria (Head Office & Manufacturing Facility)

Scope: Supporting cross-department operations, including Design, Engineering, Project Management, Procurement, Production, and Scheduling.

Key Responsibilities

Cross-Departmental Support: Provide high-level administration and coordination across Design, Engineering, Project Management, Procurement, Production, and Scheduling teams.

Document Control: Standardise, maintain, and monitor documentation in line with AWMA's Integrated Management System (IMS) and Quality processes (RACI).

Operational Alignment: Act as a coordination point across operational departments, ensuring shared milestones and smooth project handovers.

Audit & Compliance: Ensure documentation trails are accurate, audit-ready, and meet IMS requirements.

Material & Records Management: Track and coordinate material certificates, maintain structured project folders, and support job closeout processes.

Ad Hoc Support: Undertake general administrative tasks as required to maintain workflow across operational teams.

About You

* You will be a motivated and detail-oriented professional who thrives in a fast-paced, cross-functional environment. You'll bring:
* Strong communication skills (written and verbal), with the ability to liaise across departments and with external stakeholders.
* High technological aptitude with confidence in MS Office, Project, ERP platforms, and document management systems.
* Excellent organisational skills, attention to detail, and ability to manage multiple priorities.
* A solutions-focused mindset, adaptable to evolving business needs.
* Knowledge of integrated management systems (Quality, Safety & Environment) will be highly regarded.

We are seeking an experienced Operations Administrator to join our team. The successful candidate will be responsible for overseeing the day-to-day operations of the organization, ensuring that all processes are running smoothly and efficiently. The Operations Administrator will work closely with other departments to ensure that all goals and objectives are met.

Responsibilities:

* Oversee the day-to-day operations of the organization
* Develop and implement operational policies and procedures
* Monitor and analyze operational performance metrics
* Identify areas for improvement and implement solutions
* Manage and maintain operational budgets
* Ensure compliance with all relevant regulations and standards
* Collaborate with other departments to ensure that all goals and objectives are met
* Manage and train operational staff
* Develop and maintain relationships with key stakeholders

Qualifications:

* Bachelor's degree in business administration or a related field
* Proven experience in operations management
* Strong analytical and problem-solving skills
* Excellent communication and interpersonal skills
* Ability to work well under pressure and meet deadlines
* Strong leadership and management skills
* Knowledge of relevant regulations and standards
* Proficient in Microsoft Office and other relevant software
