Builderwest is seeking a highly motivated and autonomous Administration Officer / Case Manager to join our team in Ballarat, Victoria. This full‑time position is performed remotely, supporting our national operations across Western Australia, South Australia and Victoria. You will work closely with supervisors and teams in multiple states to coordinate insurance‑repair projects and ensure smooth and efficient day‑to‑day workflows.

This role is ideal for someone who is proactive, self‑driven, and comfortable working independently while remaining closely connected to a wider interstate team. Experience using the Prime Ecosystem job management system is highly desirable, though not essential for the right candidate.

What You'll Be Doing

* Working remotely in Ballarat to support case management for insurance and strata repair projects
* Coordinating daily tasks and updates with supervisors and staff in WA, SA and VIC
* Managing and maintaining accurate client case files and supporting documentation
* Providing professional customer service through confident phone and email communication
* Scheduling appointments, managing correspondence and supporting workflow across multiple time zones
* Assisting with the preparation of reports, presentations and business documents
* Contributing to continual improvements in administrative and operational processes
* Using the Prime Ecosystem platform (if experienced) or learning it through our training program


What We're Looking For

* Excellent administrative and organisational skills with strong attention to detail
* Ability to work independently and remotely with minimal supervision
* A proactive, self‑motivated individual who takes ownership of tasks
* Strong communication and interpersonal skills for working effectively with interstate teams
* Confident and professional phone manner
* Experience in administration or case management (construction/insurance experience highly regarded)
* Proficiency in Microsoft Office and the ability to learn new software quickly
* Experience with Prime Ecosystem is highly desirable but not essential
