Primary objective
The Executive Officer provides strategic advice, support and project management services to assist with the accurate and timely flow
of information between the Deputy Chief Executive Officer, the Chief Executive, senior executive staff and key stakeholder groups.
Context statement
1. Support the Deputy Chief Executive Officer in managing high-level of quality control and timeliness with respect to ministerial,
reports, briefings and departmental correspondence.
2. Provide oversight of the day-to-day administrative and executive support services for the Deputy Chief Executive Officer.
3. Manage and coordinate the development and implementation of a range of projects on behalf of the Deputy Chief Executive Officer,
which may include the development of business cases, stakeholder management and project management.
4. Develop and coordinate high quality and timely correspondence, including cabinet submissions, legislative assembly and estimates
briefings, newsflashes, and other documentation as required.
5. Develop, implement and maintain effective structures and systems to provide continuous improvement to correspondence and
information flows, including providing coaching support to staff and managers as required.
6. Maintain effective collaborative partnerships with all internal and external stakeholders.
7. Facilitate and reinforce a culture of continuous improvement and good working relationships with peers, clients and other
stakeholders to ensure high-level outcomes.
8. Undertake research and analysis of various issues and provide solutions and recommendations in relation to these.
Selection criteria
Essential
1. Demonstrated, high level interpersonal, verbal and written communication skills, with the ability to adapt content and style to suit the
audience, including within change management contexts, and interact effectively with people of diverse cultures.
2. Excellent leadership skills, including the ability to manage all aspects of team management and performance, and a demonstrated
commitment to supporting change initiatives by example, and with professionalism and enthusiasm.
3. Demonstrated ability to thoroughly research complex issues, undertake detailed evaluations and prepare concise reports, including
the ability to interpret, understand and apply legislation, policy and procedures.
4. Demonstrated strategic, conceptual, analytical, problem solving and risk management skills, including the ability to devise sound,
timely solutions to risks, and implement the necessary change plans, with a high degree of independence.
5. Exceptional organisation and coordination skills, attention to detail and accuracy of written and verbal communication, including
proficiency in contemporary administration and communication computer software (Excel, Outlook, Word, PowerPoint).
6. Demonstrated ability in process analysis, gap analysis, and the design, implementation and management of executive administration
process improvements.
Desirable
1. Experience with Northern Territory Public Sector systems including Total Records and Information Management (TRIM), HP
Records Manager (HPRM), Government Accounting System (GAS), Personnel Information Payroll System (PIPS) and myHR, Travel
Request Information Processing System (TRIPS), Electronic Credit Management System (ECMS) and Electronic Invoice Management
System (EIMS).
1. Demonstrated knowledge and understanding of relevant financial, procurement and human resource legislation including Financial
Management Act, Public Sector Employment and Management Act, Procurement Regulations and Information Act.
