About the Role
As the Administration Manager, you will play a key role in ensuring the smooth daily administrative operations of our centre. You will work closely with the Centre Director and Assistant Director to coordinate efficient office procedures and deliver exceptional customer service to families.
Responsibilities
* Manage family accounts, including fee processing, childcare subsidy knowledge, and debt management using Xplor software
* Oversee daily administration including staff and child record management, enrolments, waitlist, and centre tours
* Monitor and manage centre occupancy and staff hours in collaboration with management
* Maintain office supplies, oversee maintenance and facility services, and manage financial paperwork such as invoices and receipts
* Ensure compliance with regulatory requirements, Centre policies, and the National Quality Standards framework
* Deliver excellent customer service and communication to families, staff, and visitors
* Lead onboarding and departure procedures for staff and students on placement
* Conduct audits of family and children's records, ensuring accuracy and currency
* Assist in WHS implementation and emergency procedures
* Prepare regular reports for the centre owner and assist with continuous improvement initiatives
About You
* Proven experience as an Administration Manager or in a similar administrative leadership role within childcare
* Proficient in Xplor childcare administration software
* Strong knowledge of childcare subsidy, fee management, and financial administration
* Excellent organisational, time management, and multitasking abilities
* Strong communication and interpersonal skills with a customer service focus
* Proficient in MS Office and digital systems
* Current Working with Children Blue Card, Senior First Aid Certificate (including asthma and anaphylaxis training), and Police Check (or willingness to obtain)
