Alongside our charter services, we operate Club55.com.au, a vibrant tour club offering unique and enjoyable outings for its members. We are a passionate and close-knit team dedicated to providing exceptional customer experiences.

The Role:

We are seeking a highly organised, proactive, and customer-focused Administrator / Office Manager to join our dynamic team. This pivotal role is responsible for the smooth and efficient running of our office, providing crucial support to our operations, drivers, and valued customers of both the coach company and Club55.com.au. The ideal candidate will have a can-do attitude, excellent communication skills, and preferably, experience within the coach or tour industry.

Key Responsibilities:

* Bookings & Reservations:
* Manage incoming booking enquiries (phone, email, online) for both coach charters and Club55.com.au tours.
* Process bookings accurately and efficiently using our eCoachManager.com booking system
* Confirm bookings with customers and provide all necessary information (itineraries, pick-up times, payment details).
* Manage tour manifests and coordinate passenger lists.
* Liaise with venues (restaurants, attractions, accommodation) for Club55.com.au tours and other charter requirements.
* Book and confirm venue arrangements, ensuring all logistical details are covered.
* Maintain positive relationships with venue operators and suppliers.
* Customer Service:
* Provide exceptional customer service to all clients and club members, addressing enquiries and resolving issues professionally and promptly.
* Manage customer feedback and strive to enhance the customer experience.
* Maintain and update customer databases.
* Driver & Operations Support:
* Assist in ensuring drivers are informed of their schedules and have all necessary documentation for their routes/tours.
* Help coordinate driver availability and communicate any changes effectively.
* Assist with basic fleet administration tasks as required (e.g., coordinating services – booking in services etc).
* Ensure the office environment is organised and drivers have access to the necessary resources.
* Office Administration:
* Manage day-to-day office operations, including answering phones, managing correspondence, and maintaining filing systems (both physical and digital).
* Order and maintain office supplies.
* Assist with basic accounts administration
* Ensure the office is kept tidy and presentable.
* Potentially assist with basic marketing and social media updates for Club55.com.au (specify if applicable).

Skills and Experience:

* Proven experience in an administration or office management role.
* Excellent organisational and time-management skills with the ability to prioritise tasks and manage multiple deadlines.
* Strong verbal and written communication skills with a professional and friendly telephone manner.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and or Gogole Workspace and comfortable learning new software.
* High level of accuracy and attention to detail.
* Ability to work independently and as part of a team.
* Strong problem-solving skills and a proactive approach.
* Previous experience working in a coach company, tour office, or a similar role within the travel/tourism industry.
* Knowledge of the Perth and Western Australian tourism landscape.
* Experience with booking systems.
* Basic accounting or bookkeeping experience.
* A current WA Driver's Licence.
