Position Purpose:
This dual-function role is central to the effective operation of staffing and executive support services within the school. The successful candidate will manage daily staffing logistics, support workforce planning, and provide high-level administrative assistance to the executive team. The role requires initiative, adaptability, and the ability to manage competing priorities in a fast-paced school environment.
Key Responsibilities:
Staffing Operations:
* Monitor and manage daily staff absences, scheduling of in-built relief and casual staff ensuring timely coverage and continuation of learning programs.
* Collaborate with the executive team to coordinate and adjust staff rosters, including part-time arrangements and contract variations.
* Assist with the preparation and processing of staff contracts, leave forms, and audits to ensure compliance with ACTPS policies.
* Maintain accurate staffing records and contribute to workforce planning discussions with senior leadership.
* Utilise the School Administration System (SAS0 to manage staffing data, generate reports and support decision-making.
Executive and Administrative Support:
* Provide confidential and professional secretarial support to the executive team, including diary management, meeting coordination, and document preparation.
* Draft correspondence, reports, and briefing materials with attention to detail and clarity.
* Liaise with internal and external stakeholders on behalf of the executive team.
* Support the smooth operation of the executive office through proactive task management and prioritisation.
Business Strategy and Improvement
* Participate in work area business planning and improvement; provide input and assist in the review, development and implementation of policy, guidelines and procedures.
* Exercise initiative and judgement in solving day to day operational problems and suggests new ways of working to improve service delivery.
* Assist the line area manager to meet the relevant priorities and targets outlined in the school improvement plan and other strategic documents.
Eligibility/Other Requirements:

* Proven ability to manage multiple tasks and competing priorities with efficiency and composure.
* Demonstrated initiative and problem-solving skills in a complex administrative environment.
* Strong interpersonal and communication skills, with the ability to build effective working relationships across teams.
* High level of proficiency in Microsoft Office and extensive experience using SAS, Kronos or similar school-based systems.
