For more information on Special Measures plans, goto the OCPE website.Primary objectiveProvide comprehensive, confidential, administrative support to the Executive and work unit, including administrative coordinationand Ministerial Liaison support.Context statementThe Department of Children and Families brings together a range of policy, advocacy and frontline service delivery functions thatwork together to deliver a whole of life approach to supporting children and families across the Territory. This includes childprotection, domestic family and sexual violence, homelessness and children and family support.Key duties and responsibilities calls and delivering messages in a timely manner and events/functions 2. Liaise in a discreet and confidential manner with a wide range of people including but not limited to; all levels of staff withinProvide comprehensive administrative support which may include:Managing email inboxes, diaries, meetings and travel arrangementsMonitoring all communication channels in and out of the Executive’s office, including: telephone and email enquiries, screeningMaintaining appropriate administrative systems, registers, processes, databases and record managementproviding high level secretarial support including minute taking and logistical support to working groups, committeesEnsure high quality products and the management of effective and efficient workflows within the unit.Managing a range of procurement functions including travel arrangements, purchasing and processing credit card transactionsSupporting working groups, committees and for events/functions the Executive/ work unit are involved with.the agency, the Minister’s office, external stakeholders and the general public.Selection criteriaEssentialProven successful experience in providing administrative support; with a high attention to detail, sound judgement, theability to maintain confidentiality and a clear understanding of the need for tact and diplomacy.Prior experience operating in a fast paced environment with strong organisational and time management skills. Demonstratedability to prioritise tasks, work independently with minimal supervision and work under pressure.High level of motivation and ability to monitor and meet changing priorities and deadlines.Sound knowledge in computer systems, records management and major business systems, or the ability to obtain quickly.Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate professionallyand effectively at all levels and with people from diverse backgrounds.Further InformationWhen choosing to apply for this position, the applicant should consider the full requirements of the position in aligning their workexperience and capabilities to this role.
