About the role
Flex Industries' is seeking a passionate and detail-oriented Service Administrator to join our team in Kwinana Beach, Western Australia. In this full-time role, you will be responsible for providing exceptional administrative support to our customer service and sales teams, ensuring seamless operations and a superior client experience.
What you'll be doing
* Manage administration tasks for the service team
* Data entry, scanning & electronic filing
* Liaise with customers regarding bookings, WIP updates and scheduling related to part requirements.
* Communicate with the customer related to estimation adjustments.
* Respond to customer queries providing timely and accurate information.
* Maintain and update customer records, ensuring data accuracy and integrity
* Prepare and process invoices, purchase orders, and other financial documentation, including follow up with cash sale customers.
* Coordinate the flow of information between the sales, customer service, and parts departments
* Provide administrative support for the service team, including scheduling appointments, on-site access and managing calendars
* Contribute to the continuous improvement of administrative processes and procedures
What we're looking for
* Proven experience in a client service or service administration role, ideally within the transport or industrial sector
* Excellent communication and interpersonal skills, with the ability to liaise effectively with customers and internal stakeholders
* Strong organizational and time management skills, with the ability to prioritize tasks and work under pressure
* Proficient in using Microsoft Office suite, including Excel, Word, and Outlook
* A keen eye for detail and a commitment to accuracy in all aspects of your work
