Facilities Operations Manager required to manage 2 x shopping centres in Melbourne. The role will be 3-4 days per week.

The Role:
We are seeking a Facilities/Operations Manager to manage two retail assets in Melbourne.
You will report into the General Manager and work closely within a team of 10 consisting of Centre Manager, General Manager and Maintenance Manager.
This role will serve as the primary liaison for tenants, emphasizing the coordination of repairs, preventative maintenance, and adherence to safety and regulatory standards.
Your duties and responsibilities as Facilities Manager will be as followed:
Manage the day-to-day operations of two shopping centres including all grounds and building maintenance activities
Directly manage the maintenance manager and support with their career development
Proactively support all tenancy delivery aspects of refurbs, upgrades, new stores, tenant repairs, inductions; process/paperwork/reporting.
Lead and oversee comprehensive daily inspections of both centres, maintain/introduce a system for ensuring all areas comply with operational and safety standards
Ensure strict adherence to safety and compliance protocols within the retail environment, act as the principal authority on these matters and advocate for best practices.
Risk and Compliance Management
Ensure a property risk management program including audits is implemented and maintained across both centre
Ensure escalation procedures and incident reporting procedures are implemented, tested and reviewed in line with legislatio
Ensure compliance to all OH&S, Environment and Risk Management Policies and Procedure
Ensure compliance to Building Code of Australia, Australian Standards, Disability Discrimination Act, and all other regulations relevant.
Ensure the provision of a safe working environment and ensure compliance with statutory regulations on fire, health and safety standard
Maintenance
Plan, organize, maintain, and manage the operations and reliability of centre facilities and general infrastructure. Establish and monitor preventative maintenance processes and programs including inspection of maintenance work by contracto
Supervise operations administrative services including technical/support staff & contractors.
Develop, recommend, and administer Essential Service & OH&S policies and procedures, in support of shopping centres compliance with approved policies, procedures, and processe
Reporting
Actively work to develop operational budgets and ensure effective management of budgets.
Retailer Management
Build and develop effective client/ stakeholder relationships across multiple levels of the organization.
On-site key point of contact for operation matters within property portfolio
Ensure in conjunction with other team members that Monthly Reports are completed in a timely and accurate matte Reports are to contain:
Incident reports for prior month and recommendation for remediation if needed
Capex tracking
Budget Status/tracking outgoings against budget
Contract Expiry profile
Status of risk & compliance regimes
Status of planned & professional maintenance programs
Trouble-shoots and responds to after-hour issues as needed regarding the operational aspects of the facilities such as HVAC issues, fire alarm malfunctions, vertical transportation, electrical outages, water leaks etc
Regularly prepare and present status updates to management regarding ongoing maintenance tasks, ensuring alignment with operational priorities. Work with Finance Manger week to week for all budget needs/changes.
Update and maintain list of facilities equipment, including life-cycle and replacement costs as required.
Monitor and oversee the work of external contractors to ensure OH&S compliance & safe working practices are met and house rules are adhered to.
Participate in the development and administration of centre maintenance budget
Work with the Centre Manager to manage tenant requirements & communication on any planned or emergency works
As part of Centre's Emergency Management, ensure essential support for after hour and 24/7 on-call response as needed.
To be successful in your role as Facilities Manager, we are looking for the following experience:
Facilities management experience within shopping centres
Experience managing and setting operational budgets
Experience in reporting of data
Experienced in managing subcontractor and stakeholder relationships
