What this opportunity involves: As the Account Administrative Assistant supporting JLL's global property services contract with the Australian Department of Foreign Affairs and Trade, you'll play a vital role in ensuring smooth operations across one of the most complex and geographically diverse property portfolios in Australia. Based in Canberra with our account leadership team, you'll coordinate essential contract management and governance functions while providing high-level administrative support to senior executives. Your work will directly contribute to successful service delivery across DFAT's 100 diplomatic missions spanning approximately 90 countries, encompassing over 1,200 properties including embassies, chanceries, offices, and residences. An Overview of the role: Assist the Global Compliance Manager with technology administration, security coordination, and system access management to ensure seamless operations across the account. Support the Contract Manager in meeting all contractual obligations, governance requirements, and performance standards, helping maintain JLL's reputation for excellence. Provide executive-level administrative support to account leadership, including coordinating complex meeting schedules, organizing travel arrangements, and managing communications. Draft meeting agendas, prepare comprehensive minutes, and follow up on action items to keep projects and initiatives moving forward effectively. Maintain accurate records and documentation systems, ensuring information is organized, accessible, and compliant with both JLL and client requirements. Coordinate team administration functions such as passport management, processing security clearance applications, and monitoring completion of mandatory training programs. Handle sensitive and confidential information relating to diplomatic properties and operations with the highest level of discretion and professionalism. Build and maintain positive relationships with team members across the globe and DFAT stakeholders, supporting what sets JLL apart — our culture of collaboration, locally and across the globe. Sounds like you? This is what we are looking for: Ability to obtain and maintain Australian government security clearance at NV1 level or higher. Proven experience in an executive support, administration, or coordination role with demonstrated ability to manage multiple priorities. Excellent organizational and time management skills with strong attention to detail. Strong written and verbal communication skills with ability to draft professional correspondence. High level of proficiency with Microsoft Office Suite (Word, Outlook, PowerPoint, Excel). Demonstrated ability to handle confidential information with discretion and maintain professional integrity. Capacity to work both independently and collaboratively as part of a team. Existing Australian government security clearance at NV1 level or higher (preferred). Previous experience in commercial property sector, facilities management, or Australian Public Service environment (preferred). Experience supporting geographically dispersed teams or working in a global organization (preferred). Understanding of contract management, governance frameworks, or compliance processes (preferred).
