We are currently seeking a highly organized and detail-oriented Administrative Coordinator to provide exceptional administrative support for our Operating Suite and Patient Admissions department.
* The successful candidate will be responsible for coordinating theatre bookings and related activities, maintaining accurate records, and providing excellent customer service to internal and external customers.
Key Responsibilities:
* Maintain a high standard of service to internal and external customers at all times.
* Respond to caregiver, doctor, and other customer enquiries, researching and responding as necessary.
* Enter and monitor Pre-Admission patient bookings.
* Provide accurate, well-presented word processing/spreadsheet material; produce and distribute reports as necessary.
* Maintain a well-organized filing and information system, ensuring document security.
* Maintain strict confidentiality at all times in relation to all patient records.
* Perform Private Health Fund checks.
* Provide relief for Patient Admission role.
* Coordinate all theatre bookings and related activities.
* Liaise with theatre shift coordinator, appropriate wards, departments, and support services as required, arrange bookings and respond to enquiries.
* Assist in the process of the timely and correct allocation of CMBS numbers to all theatre procedures. Liaise with nursing caregivers and doctors' rooms to ensure accuracy of data.
Requirements:
* You will have well-developed written, verbal, and interpersonal skills, a courteous and effective telephone manner, and the ability to prioritize workload while maintaining performance under pressure.
* A working knowledge of a range of computer applications (e.g., spreadsheet and word processing) with relevant experience in a secretarial role in a healthcare environment is essential.
* Excellent organizational skills and attention to detail are also required.
