The role:
We are seeking an Administration Coordinator for our Asset Management Services department.
The primary focus is to provide essential administrative support, ensuring smooth departmental operations and coordination with various stakeholders.
You will handle tasks such as document preparation, financial administration, and supporting team and client relationships. This position reports to the Centre Manager and is based in Geelong, Victoria.
Key responsibilities:
* Draft, review, and prepare documentation including correspondence, reports, and presentations
* Manage internal and external accounts: process payments, invoices, and follow up on outstanding items, liaising with the Accounts Department
* Coordinate maintenance works by issuing work orders to approved service providers
* Attend promptly to tenant service requests
* Provide general administrative assistance: managing mail, archiving, photocopying, typing, scanning, collating, and binding
* Prepare accurate monthly expense reconciliations for applicable buildings
* Assist managers with onboarding and off-boarding of employees
Who are we looking for?
* At least 2 years' experience in a similar administration or PA role supporting a team or senior individual
* Proficiency in Microsoft Office suite, especially Word, Outlook, PowerPoint, and Excel
* Excellent time management and organizational skills to meet deadlines
* Ability to work independently with minimal supervision
* Strong customer service skills and effective communication at all levels
* Excellent verbal and written communication, with high attention to spelling and grammar
* High accuracy and attention to detail
