Role Description
This is a full-time role for an Executive Assistant reporting to the Managing Director of Iron Bear Resources. We are seeking a highly organised and proactive Executive Assistant to provide high-level support to the Managing Director, executive team, and Board as required.
The successful candidate will thrive in a dynamic junior mining environment and enjoy being hands‐on across executive support, office coordination, governance, and project administration. Some international and interstate travel will be required.
Executive Support
* Provide executive support to the Managing Director and Senior Leadership Team in Australia
* Manage complex calendars, meetings, and shifting priorities
* Screen calls, emails, and correspondence, ensuring timely responses
* Prepare agendas, presentations and briefing packs as required by the Managing Director
* Coordinate Board and committee meetings
* Maintain confidential Board records and company documentation
* Draft professional correspondence, reports, and communications
* Coordinate international and interstate travel, accommodation, and site visit logistics
Project Administration and Document Management
* Maintain Senior Leadership Team action registry and management operating system
* Establish and maintain robust document management process across all disciplines and locations
* Maintain all critical records including for tenements, environmental reports, heritage approvals, and contractor documentation
* Liaise with geology, exploration, and operations teams to ensure documentation integrity and accuracy
Office Management
* Oversee office administration, supplies, and facilities coordination for the Perth headquarters
* Manage Australian human resources including contracts and onboarding of staff and contractors
* Organise leadership workshops, offsites, and team events
* Improve systems, templates, and administrative processes
* Manage internal strategic projects and special initiatives as required by the Managing Director
Skills & Experience
* 5+ years' experience as an Executive Assistant, or similar
* Strong stakeholder management and interpersonal skills
* Experience coordinating executive travel and complex schedules
* Excellent written communication and document formatting skills
* Advanced Microsoft Office skills (Outlook, Word, PowerPoint, Excel) and general competence with office IT systems
* Strong understanding of corporate governance and Board processes
* High level of discretion, judgement, and professionalism
* Ability to work autonomously in a lean, high‐growth environment with tight deadlines
* Previous experience in mining, resources, and or ASX‐listed environments desirable
* French speaking also desirable
Remuneration
90 000 AUD/year plus superannuation contribution and access to the Employee Share Incentive Program (ESIP)
