The Receptionist is a frontline team member responsible for maximising patient appointments, managing the appointment book, and providing efficient and courteous service to patients and staff. You will be the first point of contact for incoming phone calls and will support the Practice Manager and the Dentist in Charge to ensure smooth operation and teamwork within the dental centre. You may also be involved in accounts-related tasks in line with HCF policies.
Responsibilities
* Provide courteous, prompt, and accurate responses to patient and staff enquiries.
* Answer phones within established KPIs and monitor/respond to calls throughout the day.
* Maximise patient appointments and minimise schedule gaps.
* Create, reschedule, and cancel appointments as required.
* Maintain a clean and organised reception area.
* Receive patients and assist emergency patients per HCF Dental protocols.
* Raise patient accounts, claim benefits, and receipt gap payments efficiently.
* Follow up on gap account payments and process refunds, credit adjustments, and benefit issues.
* Perform daily banking and balance takings, prepare end-of-day reports.
* Liaise with other Dental Centres regarding patient files and records.
Skills, Experience, and Qualifications
* Essential: Neat personal appearance and excellent presentation.
* Essential: Competence in appointment booking and account systems.
* Essential: Ability to maintain strict confidentiality, tact, and diplomacy at all times.
* Essential: Knowledge of Dental Centre systems and procedures.
Desirable
* Previous experience as a Dental Assistant or willingness to be cross-trained.
* Familiarity with D4W software.
* Working knowledge of Microsoft Outlook, Excel, and Word.
* Qualifications in first aid.
