With a controlled growth phase underway, we are seeking an Administration Assistant to join the team and help deliver high-quality projects across the region.
The Role
This Administration Assistant position provides vital support to ensure projects and office operations run efficiently. The role combines construction-related administration with general office duties, including coordinating reports and approvals, liaising with stakeholders, tracking timelines and preparing key documentation. You'll also assist with reception, scheduling, and executive support tasks, while working closely with various departments to keep processes smooth and deadlines on track.
Duties Include:
* Request, review, and Administer Land Contracts
* Prepare, review and Administer HIA build contracts
* Management of build contract variations
* Liaising with marketers, developers, and sales agents
* Creating sales brochures
* Work closely with the BDM's and maintaining relationships with marketers
* Organising marketing emails through campaign monitor
* Managing put and call agreements
* Managing unconditional finance and settlements
* Ordering soils, surveys and DBYD
* Data entry of all sales and fall overs
* Assisting with estimating department & Drafting departments where necessary
The Candidate
* Order material reports, surveys, and dilapidation reports
* Lodge service connection applications
* Run weekly departmental reports in On-Site Companion
* Follow up with certifiers for approvals, save and log in On-Site Companion
* Update customers on project approvals
* Create handover packs
* Oversee project scheduling and prioritise tasks to meet timelines
* Track and follow up stage claim dates with site supervisors
* Generate construction and executive reports
* Coordinate and review third-party and owner defect inspections
* Follow up on outstanding items with supervisors and trades to obtain clearance reports
* Reception duties: phone calls, office stock ordering, and post runs
* Assist Directors with travel bookings, meeting coordination, calendar management, and personal matters
* Support sales administration with brochures, new job creation and documentation in On-Site Companion
