This role is to provide support to Platform Managers and Project Managers within the digital group, through the provision of administrative and general support functions to ensure the project objectives are met.
Technical Requirements
The Portfolio Support Officer will be required to:
1. Provide support as required to key project personnel;
2. Organise requirements gathering workshops and various project meetings including the recording of minutes and the distribution of papers;
3. Maintain Project SharePoint sites and document repositories;
4. Be responsible for documenting, updating and communicating project risks, issues, dependencies and decisions;
5. Assist in the collation of business, technical and project documentation, including end user requirements;
6. Assist in the preparation of project status reports using the Digital Project Management tool and processes;
7. Support the development, maintenance, monitoring and reporting on schedules;
8. Assist the Project Managers with tracking the project budgets and conducting financial reconciliations;
9. Assist the Project Managers with the processing of supplier invoices; and
10. Develop and maintain effective working relationships with internal and external clients / suppliers.
Selection Criteria
Selection of the successful bid will be based on the following criteria:
11. Experience in providing support to management, prioritisation of work and multi-tasking in a dynamic environment;
12. Advanced skills and experience in using the MS Office Suite including Word, Excel, Visio and PowerPoint;
13. High level understanding of project management processes and methodologies;
14. Demonstrated ability to construct and maintain project related documents, including financial documentation; and
15. Experience in co-ordinating meetings, presentations, workshops and information sessions both within and external to Digital Office.
Desirable Criteria
16. Experience in using Project Management Tools e.g. MS Project and / or Artemis; and
17. Comprehensive experience in financial information reporting.
Duration
6-month contract with the option to extend.
Reporting Structure
The role will report to the Digital Portfolio Support Co-Ordinator.
