We're a fast-growing, community-focused financial planning practice in Southwest WA. Over the past five years we've tripled in size, and we're now looking for a highly capable operator to help us build the next stage of scalable, client-first operations—so we can deliver on our goal of helping 1,000 families enrich their futures.
The opportunity
This is a hands-on leadership role spanning operations, people, reporting and improvement projects. You'll work closely with the Managing Director/Board to keep the engine running smoothly day-to-day, while also driving high-value efficiency and technology improvements across a multi-site practice with Australian and offshore support.
What success looks like
* By 3 months: you've built strong relationships across the advice and support teams, understood the current workflows and service standards, and identified the key friction points and quick wins.
* By 6 months: you've helped develop a clear, prioritised plan for high-value improvement projects (process, capacity, reporting and tech enablement) and are comfortable to start implementing changes—while keeping day-to-day operations running smoothly for our team and clients.
Key responsibilities (high level)
* Lead day-to-day operations across two office locations, supporting advisers and maintaining an excellent client experience.
* Manage Australian and offshore support staff: clear expectations, consistent workflows, communication and capacity planning.
* Own operational reporting and dashboards (productivity, capacity, turnaround times, pipeline, revenue/cost).
* Drive efficiency and tech adoption projects (automation, documentation, workflow optimisation).
* Oversee key compliance processes and support the practice to meet licensee and audit requirements.
About you
* Proven experience (typically 3+ years) in practice management / operations within financial planning, accounting, or professional services.
* Strong operations experience is essential and will be prioritised over specific industry background.
* A strong \"operator\" mindset: you can stabilise the day-to-day while designing better ways of working.
* Comfortable with data and reporting—able to turn activity into insights and practical decisions.
* Confidence leading and motivating a mixed onshore/offshore support team.
* Tech-curious and pragmatic: you enjoy improving systems, workflow tools and automation to keep pace with a changing advice landscape.
Flexibility, location & salary
* Part-time / flexible: 4 days per week (or equivalent) with flexible hours (including school hours).
* Hybrid: minimum 1 day per week in Mandurah, plus time in Bunbury each month.
* Salary: Great base salary + performance bonus + super, depending on experience.
