An exciting job opportunity has arisen for a dynamic individual with experience in a high functioning Executive Administrative position to join our Executive team.
Newcastle Private Hospital is seeking an Executive Assistant who will take initiative, facilitate key events and take actions to enable the smooth running of the executive office.
You will be highly competent in managing complex and frequently changing schedules, build strong relationships, be highly organised and manage sensitive information in a confidential manner.
You will be supporting a fast-paced environment, high energy executive professionals, with a broad portfolio consisting of internal and external stakeholders.
Due to the nature of the role, you will be required onsite full-time.

Come and join our expert team of surgeons, specialist doctors, dedicated nurses and allied health professionals at Newcastle Private Hospital. We are a 189 bed, acute, private hospital facility co-located on the John Hunter Campus at Rankin Park. The hospital has 11 theatres including a hybrid theatre and a 15 bed Intensive Care Unit.
We also have a cardiac suite including a cardiac catheter laboratory and a 16 bed Coronary Care Unit. A private maternity suite including 6 birthing suites and a special care baby nursery is available for families in the Newcastle region. Newcastle Private Oncology Centre provides specialty care for individuals and their families/carers undergoing all aspects of cancer treatment and care with both an inpatient unit and day infusion lounge.
As an Executive Assistant your responsibilities will include:
* Diary management, including liaising with internal, external and international personnel regarding complex diary and meeting management.
* Coordinate executive communications including taking calls, responding to emails, drafting correspondence, oversee the creation of documents, minute taker and distribution of minutes, various reports and presentations.
* Maintaining an organised filing system of paper and electronic documents.
* Contribute to a team environment, working collaboratively in sharing and generating ideas, empowered to achieve outcomes.
* Efficient and accurate management of VMO credentialing – training will be provided in this area.
* Management of Hospital feedback systems.
Selection Criteria Essential:
* Experience in an Executive Assistant role (preferred but not essential).
* Previous administrative experience in a hospital/health care or medical environment is desirable.
* Previous experience with Doctor credentialling practices & software.
* Advanced computer skills in MS Office (Outlook, Word, Excel and PowerPoint).
* Highly developed organisational skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
* High level attention to detail, including in written materials.
* Strong organisational and time management skills with the ability to multitask.
* Outstanding customer service.
* Excellent interpersonal and communication skills.
* High level of confidentiality.
* Ability to work autonomously and within a team.
* Ability to follow instructions and take directions.
