Project Support Specialist Role
This position demands a high level of organizational expertise, the ability to multitask in a dynamic environment, and exceptional communication skills. Primary responsibilities include coordinating purchase orders, facilitating invoice approval, updating tracking systems, analyzing project data using PowerBI and Excel templates, and maintaining a repository of project documents.
* Purchase Order Management: Coordinate the preparation and processing of purchase orders and requisitions for internal teams.
* Invoice Approval: Facilitate the approval of invoices and process them within the designated system.
* Tracking System Updates: Regularly update necessary tracking systems with accurate data.
* Project Data Analysis: Analyze project data using PowerBI and internal Excel templates.
* Document Management: Develop and maintain organized and complete files for projects and programs; monitor for integrity and completeness.
* Project Meetings: Attend project meetings to prepare for upcoming project needs and support task execution.
* Vendor Management: Collaborate with the local team to identify added project costs and determine forecast changes.
* Education: High school diploma or equivalent; Associate degree or two years of equivalent work experience.
* Experience: Two years of related experience in operational coordination with purchase order experience.
* Skills: Excellent organizational/administrative skills, Strong Microsoft Office skills (Excel, PowerPoint, Word), Smartsheet experience.
