Role Description:

A rare opportunity has arisen to join our experienced team as a permanent, part-time Construction Administrator (Administration Assistant) at T.K. Old Homes, minimum 3 days per week (24 hours – 8.30am – 5.00pm). There may be opportunity to increase to 4-5 days in the future.

This position has come about because of one of our longstanding admin team members recently retiring.

Our Administration Team form the back-bone of our day-to-day operations. As a Construction Administrator, you will serve as an important interface between our suppliers, subcontractors/trades, clients and onsite construction team. This role is based at our main office in Croydon, VIC.

Key Responsibilities include but are not limited to:

· Liaise with Project Supervisors (x 2), Construction Manager and Administration Team

· Liaise with clients, subcontractors/trades and suppliers as required

· Manage paperwork associated with contracts, specifications and project documentation

· Respond to client queries or concerns including managing office phone and administration email inbox

· Preparation of documentation for subcontractors, trades, suppliers etc

· Order or call-up materials as appropriate via Purchase Order system

· Use Buildertrend (Project Management software program) to assist in the coordination, administrative organisation and delivery of projects as per the building schedule

· Assist with document storage and managing project registers

· Issue Quote Requests to trades and suppliers as required

· Ability to read and interpret floor plans, project specifications and finishes schedules

· Draft client-requested Change Orders as required (for internal approval) and obtain relevant pricing feedback from trades/suppliers

· Assist clients in collating/finalising their selections and finishes for their project

Requirements:

· A minimum of 3+ years in the residential building and construction industry as a Construction Administrator, Contracts Administrator or similar administration role

· Experience with Buildertrend Project Management software is desirable but not essential

· Proficient in Microsoft Office (Excel, Word, Outlook emails)

· Professional, courteous and effective communication skills

· Strong organisational skills with the ability to multi-task effectively and work towards deadlines

· The ability to work proactively and autonomously in a small team

· Ability to work well under pressure and to balance competing demands

· Demonstrate a high attention to detail

Benefits & Particulars:

- Permanent, ongoing part-time position (minimum 3 days/week; 8.30am – 5pm) working as a valuable member of a supportive and encouraging team. The ideal candidate would be open to transitioning to 4-5 days down the track.
