Queensland Corrective Services Academy is seeking a proactive and detail focused RTO Administration Officer for a temporary backfill opportunity supporting the effective operation of the Academy's Registered Training Organisation (RTO). In this role, you will provide administrative support, user assistance, and training across student (Wisenet) and Learning Management Systems (LMS), ensuring accurate records, compliant processes, and high quality service delivery. You will contribute to enrolment management, data integrity, reporting, and the maintenance of policies and procedures that underpin the Academy's training and compliance framework.

The RTO Administration Officer plays a vital role in supporting the Queensland Corrective Services Academy's training and compliance functions by providing high quality administrative support and system expertise across the student management system (Wisenet) and Learning Management System (LMS). This position is responsible for coordinating enrolment processes for students undertaking qualifications and courses delivered by the Academy, ensuring all records are accurate, complete, and maintained in accordance with RTO standards. The role also oversees the printing and reissue of qualification certificates, statements of attainment, and other formal documentation, ensuring compliance with national requirements and internal quality processes.

A key component of the role involves providing LMS administrative support to course administrators, training managers, and other stakeholders. This includes troubleshooting user issues, assisting with help desk services, escalating unresolved matters, and supporting the development of instructional guides, templates, and training materials that enhance system usability and consistency. The RTO Administration Officer will also assist with the preparation of learning materials and support the capture and maintenance of training data across QCS, ensuring information is accurate, accessible, and aligned with organisational reporting needs.

The role is responsible for administering and maintaining student and learning management systems, including the ongoing management of student records, data entry, and system updates. This includes extracting and analysing data to produce reports for management, supporting decision making, and contributing to the Academy's compliance obligations. The RTO Administration Officer will coordinate annual VET reporting to external bodies and provide secretariat support for monthly VET meetings, including preparing agendas, coordinating attendees, and recording minutes. Strong attention to detail, accuracy, and adherence to compliance requirements are essential to ensuring the Academy meets its obligations as an RTO.

Another key responsibility is managing the Academy's Quality Management System (QMS), including version control, annual auditing, and updating procedures and processes to ensure documentation remains current and compliant. This requires a strong understanding of administrative governance, the ability to work systematically, and a commitment to continuous improvement. The role also supports the maintenance of training records within the Agency HRIS and provides general administrative support to Academy staff and management as required.

To be successful in this role, applicants will demonstrate strong communication skills, the ability to summarise information clearly, and a commitment to providing excellent customer service. Proven administrative capability, strong attention to detail, and the ability to manage competing priorities in a fast paced environment are essential. The role requires intermediate information technology skills, including proficiency across the Microsoft Office and Adobe suites, and the ability to exercise sound judgment, discretion, and resilience when working with confidential information. Experience with RTO processes or student/learning management systems will be highly regarded.
