About The Role
We are seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive administrative and operational support to the Managing Director and Chief Operations and Finance Officer. Based at our head office in Somersby, this role will play be pivotal in ensuring the smooth functioning of executive operations and will involve document handling, contract preparation, financial administration, and cross-functional coordination.
Main duties will include:
• Manage and coordinate day to day functions including incoming communications (emails, calls) and draft responses where appropriate.
• Prepare meeting agendas, minutes, presentations, and briefing documents.
• Contract preparation and document management including drafting, reviewing, and formatting contracts, agreements, NDAs, and MoUs as well as liaising with sales team to
ensure timely approvals and renewals.
• Coordinate procurement documentation and liaise with vendors and internal stakeholders.
• Support with expense claim preparation, invoice processing, and basic financial tracking for the COFO.
• Arrange detailed domestic and international travel itineraries ensuring all travel-related documentation (visas, insurance, agendas) is in order.
• Coordinate logistics and communication with high-level internal and external stakeholders.
• Support the MD and COFO in cross-functional project tracking and execution.
• Handle highly sensitive and confidential information with the utmost professionalism.
• Assist with compiling reports and data for financial or operational reviews.
About You
To be successful in this role, you will have:
• Proven experience (3+ years) in an Executive Assistant or similar high-level support role.
• Strong knowledge of contract formatting and document handling procedures..
• Excellent written and verbal communication skills.
• High level of discretion, professionalism, and attention to detail.
• Strong organisational and time management skills with the ability to prioritize competing demands.
• Experience in finance or operations environments is highly desirable.
• Able to work independently and handle fast-paced, dynamic environments.
