About The Role
This is a project-focused document control role, embedded in the operational heart of the business. You will work directly with project and engineering teams across active construction and resources projects in Western Australia, managing the full lifecycle of project documentation from setup through to close-out.
We have multiple projects underway, with more in the pipeline, so you will need to hit the ground running and be confident managing competing priorities across several projects.
This is a fast-paced environment where document control plays a critical role in keeping projects moving. Accuracy, consistency and turnaround matter, you will need to be confident, organised, and able to get things right without constant oversight.
Key Responsibilities
* Set up and maintain project document registers, ensuring all documents are correctly numbered, filed and tracked in line with project and client requirements
* Manage and process incoming and outgoing document transmittals via EDMS platforms, including Aconex and PIMS (and other client platforms as required)
* Check, process and distribute drawings and documents from clients, designers and subcontractors, ensuring compliance with formatting and submission standards
* Submit transmittals within required timeframes, maintaining a clear audit trail
* Maintain and update internal and external distribution matrices
* Register and manage recipients and document placeholders within Aconex
* Liaise with project managers, engineers and site teams to track document status, outstanding actions and submission requirements
* Support project setup, including SharePoint structure and document numbering frameworks
* Conduct regular audits of project documentation to identify gaps, non-conformances and outstanding revisions
* Coordinate document number requests and ensure registers remain accurate throughout the project lifecycle
* Assist with preparation and formatting of deliverables in line with client requirements
* Attend project meetings where document control input is required
About You
You have hands-on experience in document control within construction, engineering or resources. You understand the pace and precision of project environments and take ownership of your work without needing to be chased.
* Proven experience as a Document Controller in a project-based environment (mining, construction or civil preferred)
* Strong working knowledge of EDMS platforms, Aconex is essential; PIMS is highly regarded
* Solid understanding of document control principles, including transmittals, revision control and distribution management
* High attention to detail, you pick up errors before they become issues
* Able to manage competing priorities across multiple projects without compromising quality
* Confident working directly with project teams, engineers and client representatives
* Strong Microsoft Office skills, particularly Excel and SharePoint
* Familiarity with Tier 1 client expectations is advantageous
* Clear, direct and professional communication style
* Self-directed and reliable, you manage your workload and elevate early when needed
