Position Overview
We are seeking an experienced Team Coordinator – Investment Sales to support our Investment Sales team in delivering exceptional client service and market-leading results. The role is responsible for campaign coordination, database management and the preparation of submissions and marketing materials to deliver successful campaigns as well as general operational support to ensure smooth day-to-day operations.
This position is ideal for a highly organised, analytical and proactive individual with an interest in commercial property and a passion for operational excellence, who holds the ability to collaborate effectively within a team environment.
Key Responsibilities
Campaign Administration:
* Coordinate and manage the administrative setup and workflow of property sales campaigns, including documentation, listings, third-party engagement and accurate campaign records.
Marketing Coordination:
* Facilitate the preparation of high-quality submissions and pitch documents by collating detailed information and presentation materials, in line with brand guidelines.
* Prepare campaign collateral including Information Memorandums (IMs), supporting assets and due diligence packs and digital media including e-newsletters, ensuring accuracy and alignment to brand guidelines.
CRM & Database Management:
* Maintain and update CRM system, ensuring accurate buyer enquiry tracking and complete database records throughout campaigns.
* Assist in preparing targeted buyer and investor lists and managing marketing mail-outs and database communications.
Reporting & Presentation Support:
* Collate campaign performance tracking, enquiry reporting and communication for clients and internal stakeholders.
* Assist with preparation of presentations, graphics and market summaries for internal and client use, in line with brand guidelines.
Operational Team Support:
* Provide administrative support to the Investment Sales team to ensure smooth day-to-day operations and efficient campaign delivery.
Skills & Qualifications
* Experienced property or real-estate professional with strong operational and administrative capabilities and excellent attention to detail.
* Ability to work collaboratively as part of a team and manage multiple projects to meet deadlines in a fast-paced environment.
* Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint and Word essential).
* Proficiency with Adobe Creative Suite (InDesign essential).
* Experience using CRM systems (e.g. Salesforce, Re-Leased, or similar)
* Strong written and verbal communication skills.
* A genuine interest in commercial property and Melbourne's real estate market.
