Medical Secretary / Executive Assistant to Surgeon

Location: The Poche Centre (North Sydney) & Gloucester House, Royal Prince Alfred Hospital (Camperdown)
Are you an organised and professional Medical Secretary with a passion for patient care and surgical support? Sydney Melanoma & Surgical Oncology is seeking a dedicated individual to provide both medical administrative and executive assistant support to one of our surgical team.
About the Role
This full-time position offers a unique opportunity to work across two prestigious locations, supporting a busy surgical practice and contributing to the delivery of exceptional patient care. You'll be the first point of contact for patients and referrers, while also managing key administrative and executive functions.
Key Responsibilities
Medical Secretary Duties:
o Reception and secretarial support.
o Answering phones, triaging calls, and managing appointment diaries.
o Booking patient appointments and surgical procedures.
o Liaising with consulting rooms, hospitals, and service providers.
o Issuing and receipting patient accounts, including Medicare claims and pre-payments.
o Outpatient Surgical billing and preparation of inpatient surgery estimates.
o Preparing clinic lists and running clinics.
o Re-stocking of consumables within consulting and biopsy rooms.
o Pulling and filing patient records.
o General housekeeping and supply maintenance.
Executive Assistant Duties:
o High-level administrative support to the Surgeon.
o Diary and email management, meeting coordination, and correspondence.
o Handling confidential documentation and communications.
What We're Looking For
o Excellent written and verbal communication skills.
o Professional presentation and a warm, empathetic manner.
o Experience with Shexie Platinum medical software.
o Certificate in Medical Reception, Medical Administration, or equivalent.
o Ability to multitask and work efficiently in a fast-paced clinical environment.
o Commitment to patient care and confidentiality.
Position Details
o Full-time, permanent | 9-day fortnight with a rostered day off | Monday to Friday with shifts between the hours of 7:30am – 5:30pm
o Location: The Poche Centre (North Sydney) & Royal Prince Alfred Hospital (Gloucester House)
o Probation: 6 months
o Additional Requirements: 2 professional referees
