This role is located in Canberra, ACT but will consider other locations.
Position Summary:
The Events Assistant provides crucial event and administrative support to the Events, Learning and Partnerships Team, contributing to the successful delivery of national events and programs. This role is an excellent opportunity for an organised and detail-oriented individual to build their career and experience in event management and coordination.
Participation in some meetings outside of business hours, as well as occasional travel, may be required as part of this role.
This role is 3 days (or equivalent hours) per week.
Depending on your location, this role could be work from home or include some days in the office.
Key Responsibilities:
Event Support: Provide event support for all national events, including the Planning Congress, Rural, Regional and Remote Conference, and National Awards for Planning Excellence.
* This includes working with contractors and suppliers, assisting to manage registration and abstract processes, assisting in speaker and program management, awards process and judging management and onsite event assistance.
Webinar Coordination: Coordinate and deliver national webinars using Zoom, ensuring smooth execution and participant engagement.
* This includes assisting in marketing, recording and running online Zoom webinars.
On Demand platform support: Support content management for PIA's new On Demand platform.
* This includes basic video editing and uploading via Vimeo, Canva or similar, working with Divisions to obtain content, setting up video content in the PIA On Demand system regularly and maintaining relevant records.
Mentoring Program Coordination: Support State Divisions to deliver the PIA Mentoring Program.
* This includes collaborating and coordinating with producing key supporting material, marketing and collaborating with state Divisions (and National Marketing and Brand Manager).
Administrative Assistance: Offer general administrative support to the Events, Learning and Partnerships team.
* This includes inbox and enquiry management, data entry, document preparation, and meeting coordination.
Virtual and Onsite Event Support: Flexibility to be available for webinars and in person events.
* This includes assisting with online or onsite registrations, managing contractors/suppliers, stage resetting, speaker and venue assistance and any other virtual or on the ground resourcing required during events.
ACT Events Support: Occasionally support ACT events with event coordination and administrative tasks, including delivery of some in-person events.
Key Selection Criteria:
* Excellent organisational and time management skills, with a high attention to detail.
* Proficiency in using event management tools such as Zoom (for webinars) and Canva/Vimeo (for marketing/design/content editing and uploads) or similar.
* Developed computer skills including the ability to use word processing and spreadsheet packages.
* Strong communication and interpersonal abilities to engage with team members and external partners.
* Ability to take initiative and work collaboratively in a team and follow instructions effectively.
* Experience in event coordination and administration is preferred.
* Reliable, flexible and punctual.
* Work as part of the PIA team in a cohesive and supportive manner.
Desirable Criteria
* A degree in Event Management, Communications, or a related field is advantageous.
* Experience working for a member-based organisation or similar.
Key relationships
This role reports directly to the Head of Events, Learning and Partnerships. The Events Assistant will also work collaboratively with the Events, Learning and Partnerships Officer and Chief Operating Officer.
Strong working relationships will also be necessary with PIA's Head of Membership and Engagement and the National Marketing and Brand Manager.
