The role
As a Project Officer within the Major Projects Department, you will provide essential administrative, coordination, and assurance support that keeps our project activities running smoothly and consistently. Reporting to the Programme Document and Assurance Specialist, this role focuses on maintaining high standards of documentation, compliance, record-keeping, financial processing, and information management across the program.
This is not a project management role - it is a hands-on, detail-driven position suited to someone who enjoys structure, systems, and administrative excellence. Your ability to maintain accuracy, follow procedures, and ensure governance requirements are met will directly support the successful delivery of TasPorts' major infrastructure programs.
Key Duties
* Provide accurate, responsive administrative support to the Major Projects team, including preparing, formatting, and distributing project and contract documentation.
* Act as a Super User for project management applications (Altus Sensei) and assist with user support and training activities.
* Contribute to the development and maintenance of documentation auditing and assurance tools, ensuring alignment with corporate standards.
* Support contract administration activities for consultancy and construction suppliers through document preparation, tracking, and record management.
* Coordinate meetings, agendas, minutes, travel, and logistics for project team members.
* Process purchasing and financial transactions in accordance with procurement policies and delegations.
* Maintain electronic and hard-copy work packs, ensuring accurate scanning, uploading, filing, and transmittal of documents.
* Assist with staff onboarding and offboarding, including arranging equipment, access, and training requirements.
* Identify opportunities for process improvements and contribute to risk management activities across Major Projects.
* Support the implementation of project assurance activities such as Gateway reviews, internal health checks, and compliance actions.
About you
You are an organised and detail-focused professional who takes pride in accuracy, consistency, and strong administrative practice. You work well in environments with defined processes and enjoy supporting others through reliable coordination and thorough record management. You communicate clearly, follow procedures confidently, and are comfortable working with multiple stakeholders while managing competing tasks. Your proactive approach ensures you can anticipate needs, solve problems early, and maintain structured workflows.
What you will have
* 2-5 years' experience in an administration-focused role within construction, infrastructure, engineering, or a related environment (e.g., Document Control, Project Administration, Contract Administration).
* Experience with electronic document management and project systems (e.g., Aconex, Altus Sensei) and financial processing systems (e.g., Great Plains).
* Strong computer literacy, including proficiency across the Microsoft Office suite.
* Demonstrated ability to manage multiple tasks and priorities with accuracy, consistency, and attention to detail.
* Strong communication and interpersonal skills, with the ability to support stakeholders and resolve day-to-day issues.
* Analytical and problem-solving capabilities, with effective timemanagement and the ability to follow structured processes.
* Experience within the construction or mining sector is highly desirable.
Essential requirements: MSIC eligibility, White Card, and a current driver's licence.
