Greenfield Technical Services is a growing organisation providing Civil Engineering and Project Management consultancy services across the state.

Our Clients include more than 40 local governments predominately in regional Western Australia.

We are looking for an enthusiastic and professional WHS professional to join the Greenfield team as our Integrated Management System (IMS) Compliance Officer. We have a comprehensive IMS, and we require the right person to steward the implementation and operation of the system across our organisation.

This is a permanent position, negotiable from part-time (minimum of four days per week) to full time.

The position can be based in the Geraldton office OR work from home (within WA only). The successful candidate can expect to be required to travel to various job sites throughout WA approximately every month to meet with the Greenfield team and conduct IMS compliance activities.

Accountabilities

Integrated Management System

* Implement Greenfield's IMS with a particular focus on occupational health, safety and environmental aspects
* Provide guidance, coaching and support across the organisation on the IMS
* Work collaboratively with the IMS Administrator in the day-to-day compliance and monitoring of the IMS
* Identify improvements to the system that will drive value for the business and work with the Principal and IMS Administrator to determine if these improvements are to be added to the system
* Provide regular updates to the Principal on the progress of the implementation of the IMS
* Conduct internal audits of the IMS in accordance with the relevant audit schedule and support external audits of the IMS
* Stay informed and current of any changes to WHS legislation that need to be interpreted and applied to the IMS

Work Health and Safety, Quality, Environment and People

* Work to achieve Greenfield's Quality, Health, Safety, and Environment objectives as outlined in the Integrated Management System (IMS) Overview
* Provide technical advice on WHS, Quality, and Environment to staff within Greenfield
* Promote a positive IMS culture within the organisation and develop and champion WHSE initiatives
* Be available outside of work hours on a roster basis to check in with remote staff and escalate communications accordingly if required (emergency response)
* Conduct incident investigations when required
* Coordinate and conduct emergency response scenarios
* Provide Safety Alerts following the identification of a high-level risk, hazard or after an incident
* Provide feedback and coaching to staff on WHS behaviours where required to improve safety performance
* Populate and maintain various WHS registers (e.g. Speeding Report Tracking Register, Waste Disposal Tracking, Fire Extinguisher, Hazardous Substances Register, Hazard Register)
* Review and steward IMS forms (e.g. Journey Management Plans, Light Vehicle Daily Pre-Starts, Site Checklists, Camp Movement Checklists, Workstation Ergonomics Checklists)
* Coordinate the issuance and maintenance of WHS-related assets e.g. PLBs, communications equipment, LV recovery equipment, fire extinguishers, first aid kits etc.
* Provide support for established Greenfield people/HR processes under the direction of the Principal or Organisational Development Manager when required

Site Inspections

* Conduct inspections of all Greenfield sites and offices to ensure compliance with the IMS, and provide coaching and mentoring to staff on the IMS - with a particular focus on WHS
* Independently conduct regular site and office IMS audits and report findings and proposed resolutions for issues identified to the Principal

Travel

* Be available to travel to Greenfield's work locations typically in regional WA.
* You might expect to travel for between 3 – 5 days per month, with most trips typically taking 2 - 4 days due to the remote location of job sites. Travel is intended to:
o Ensure compliance with the IMS, address any WHS concerns and build relationships with Greenfield staff
o Complete routine auditing of Greenfield work locations against IMS requirements.
o Provide ad-hoc WHS support for job-related activities
* Travel will typically be via Company vehicle or flight to the nearest airport and rental vehicle

Training and Induction

* Induct all new staff on the IMS either on-site or in a Greenfield office
* Be the key point of contact for WHS software and systems training

Administration

* Monitor IMS documentation, register completion, and records within the IMS to ensure accuracy, thoroughness, and the correct use of the documentation in collaboration with the IMS Administrator
* Provide coaching and mentoring to all staff in the use of IMS documentation
* Schedule personal site visits, and maintain schedule of personnel movements
* Maintain WHS system back-end administration - building forms, workflows and maintaining training records
* Drop-off and collection of WHS equipment from stores/repairers
* Some ad-hoc office duties when required

Qualifications and Experience

* Minimum 5 years' experience in a WHS or Compliance role
* Vocational or tertiary qualifications in Work Health and Safety
* Construction site experience in WHS, Compliance or another role
* Experience working in regional WA
* Knowledge of ISO 9001, ISO 45001 and ISO 14001

Skills and Knowledge

* Effective communication and interpersonal skills (oral & written)
* The ability to provide constructive feedback and influence behaviour change/promote compliance with the IMS
* Computer literacy in the use of Microsoft suite applications
* Highly organised with proven time management skills to effectively deliver multiple priorities
* Ability to work effectively independently in and out of an office environment and be part of a team with minimal supervision
* Good analytical skills with an eye for quality and high attention to detail

Other Requirements

* Current and valid Australian Drivers License
* Ability to work irregular hours occasionally
* Ability to travel to and stay at Greenfield offices or site-based locations occasionally
* Satisfactory completion of a medical examination
