We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our office and coordinate essential services. This role will involve working closely with the Chief of Staff to maintain a productive office environment and manage key responsibilities, including liaising with maintenance teams, managing vendor relationships, coordinating office supplies, and assisting in employee onboarding.What You’ll DoOffice Operations Management: Oversee the daily operations of the office, ensuring that everything runs smoothly. This includes managing office supplies, maintaining office equipment, and overseeing maintenance services.Employee Onboarding & Induction: Assist with new employee onboarding, including setting up workstations, creating employee IDs, and coordinating IT equipment and access to company systems. Ensure all new hires have the resources they need to succeed on day one.Maintenance & Vendor Liaison: Serve as the main point of contact for maintenance workers and service providers, ensuring all repair and maintenance jobs are promptly addressed. Coordinate with contractors and service providers to ensure office systems (HVAC, plumbing, IT, etc.) are fully operational and well-maintained.Facilities Inspections & Safety Compliance: Conduct regular checks on office infrastructure to identify maintenance needs. Ensure compliance with Workplace Health and Safety (WHS) standards and keep emergency protocols up to date.Procurement & Inventory Management: Manage office supply procurement, track inventory, and ensure timely restocking of essential office materials. Maintain cost control and stay within office budget limits.General Administrative Support: Support administrative functions including scheduling meetings, managing office correspondence, and assisting with documentation and reports. Provide support to senior leadership as required.Problem Solving & Initiative: Anticipate challenges and offer creative solutions to keep the office running efficiently. Take proactive measures to address any operational hurdles that arise.What You’ll BringExperience: 3+ years of experience in an office management or similar operational role, with a proven track record of managing office systems, coordinating maintenance services, and supporting office operations.Communication: Excellent verbal and written communication skills, with the ability to interact with vendors, contractors, and internal stakeholders at all levels.Discretion & Professionalism: Strong ability to handle sensitive information with discretion, maintain confidentiality, and manage office procedures professionally.Organisational Skills: Exceptional organisational and time-management skills, with the ability to manage multiple priorities and tasks effectively.Problem Solving: Ability to anticipate and resolve operational challenges and act proactively to keep the office running efficiently.Adaptability: Willingness to take on additional operational tasks and be flexible to the evolving needs of the company.What You Need to KnowThis role requires the successful candidate to be onsite with the flexibility to adapt to varying office needs as the company grows.
