About the Role:

This position supports the smooth running of practice operations through a combination of bookkeeping support, administration, and business development activities.

External accounting services manage higher-level financial oversight and compliance. This role focuses on day-to-day administrative and bookkeeping support tasks, while also contributing to the ongoing development and coordination of the practice’s EAP and organisational service offerings.

Key Responsibilities:

* Day-to-day bookkeeping support including invoicing, accounts payable/receivable processing, and reconciliations

* Liaising with external accounting providers as required

* Managing billing processes and supporting Medicare, DVA, and related administrative claims workflows where applicable

* Supporting EAP business development, including responding to enquiries, maintaining organisational relationships, following up leads, and assisting in converting interest into ongoing service partnerships

* Supporting coordination of EAP services, including client and organisational communication, session tracking, and administrative processes

* Maintaining accurate client and administrative records within practice systems

* Administrative support across scheduling, documentation, and internal workflows

* Working within and maintaining the practice CRM (Zanda ) including client records, appointments, and billing entries

* Supporting operational coordination and general practice administration

* Assisting with process improvements and initiatives that support practice growth and service delivery

What We Offer:

* Employee role with appropriate entitlements

* A supportive and professional team environment

* A structured and established practice with clear systems

* A varied role combining administration, bookkeeping support, and business development

* Opportunity to play an active role in growing the EAP and organisational services stream

* Consistent, predictable hours within agreed parameters

* A calm, quiet, and focused working environment

What We’re Looking For:

* Experience in bookkeeping and/or business administration

* A confident, personable approach with the ability to engage with organisations and build relationships over time

* An ability to follow through on enquiries, communicate clearly, and support the conversion of leads into ongoing services

* Experience or familiarity with business development, client relationship management, or service-based environments

* Familiarity with or willingness to quickly become proficient in Zanda CRM (experience with Zanda is highly regarded)

* Strong attention to detail and organisational skills

* Ability to work independently while communicating effectively with a team

* A proactive, solutions-focused mindset

* Professionalism, reliability, and discretion

Ideal Candidate Profile:

The successful applicant is likely someone who:

* Is comfortable engaging with people in a professional, relational way

* Has a natural ability to build rapport with organisational contacts and follow through on opportunities

* Can balance structured administrative work with initiative in business development tasks

* Enjoys contributing to both the operational and growth aspects of a service-based organisation

* Is reliable, organised, and confident working within established systems while also identifying improvements

* Values working in a calm, quiet, and steady environment

Experience within allied health, EAP services, or B2B service environments will be highly regarded.

If you are looking for a role where your administrative, operational, and relationship-building skills contribute directly to the growth of a well-established and meaningful practice, we would love to hear from you.
