The Uniting Church in Australia (the Church) is a large, uniquely Australian Christian denomination with heritage from historical reformed evangelical denominations. In Queensland, the Uniting Church has around 250 congregations and includes early learning centres, schools, colleges, and large community services (such as UnitingCare Queensland – BlueCare, Lifeline, Wesley Hospital and Wesley Mission Queensland).

Position Purpose
The purpose of this role is to deliver exceptional customer service as the first point of contact for visitors and callers to the Synod office, ensuring a welcoming and professional environment. The role also provides administrative support across the Synod Office and contributes to the successful planning and delivery of Queensland Synod events through the Communications & Events team.
Responsibilities
* Greet and direct visitors, manage reception systems, handle calls and inboxes, and support day‑to‑day office coordination.
* Provide Executive Assistance to the Executive Support Manager and administrative support to committees across the Synod Office, including agendas, papers, minutes, bookings, and catering.
* Manage meeting rooms, office supplies, mail processing, couriers, deliveries, parking permits, shredding and archival box coordination.
* Coordinate travel arrangements for Synod Office staff and governing bodies.
* Manage pool vehicles, including bookings, licence checks, servicing, and policy compliance.
* Create and manage staff, contractor, and visitor ID cards and access permissions; oversee building keys and site access.
* Assist the Communications & Events team with planning, logistics, vendor liaison, RSVPs, registration systems, materials preparation, and onsite event support for key events including Synod in Session.
* Undertake monthly corporate card reconciliations, cheque scanning and banking, baptism record requests, ordering of communion cups and Basis of Union copies, and Big Fella Cross rentals.
* Serve as Fire Warden for the Ground level of the Synod building.
* Model the values of the Uniting Church in Australia, Queensland Synod and work within its Code of Conduct, WHS requirements, policies and procedures.
* Undertake other duties as directed within the scope of the role.

What will You bring to the role?
* Experience in a receptionist or customer‑facing role (advantageous).
* Experience supporting events, including logistics, vendor liaison, timelines, and onsite coordination.
* Experience coordinating travel arrangements.
* Strong proficiency in Microsoft Office 365, SharePoint, CRM and contemporary digital systems.
* Professional communication skills, warm presentation and a helpful, positive attitude.
* Ability to work both independently and as part of a team, managing competing priorities.
* Demonstrated initiative, organisation and multi‑tasking capability.
* Capacity to work effectively under pressure and meet deadlines.
* Commitment to the purpose and values of the Uniting Church in Australia, Queensland Synod.
Additional Requirements
* Current driver's licence (to be sighted before appointment).
* Current Working with children check (Bluecard) or ability to obtain.
* Flexibility to work outside normal hours to support major events (e.g. Synod in Session, Triennial Assembly).
* Must be legally eligible to work in Australia and may be asked to provide proof.
