Think: supporting our design + planning team, streamlining workflows, and being the glue that holds the chaos together (with style, of course).
This position focuses on project coordination within the design and planning team, ensuring efficient workflow management. Key responsibilities include but are not limited to:
* Completing job setups/data entry
* Conducting preliminary site investigations and ordering relevant site documentation, including (but not limited to) DP and 88b Instruments, Flood Planning Certificates, S10.7(2) Certificates, Plan and Document Search Applications
* Navigating various NSW Government and Council platforms to gather project-related site information for the administration and design teams
* Scheduling projects and tasks within the design and plan team's workflows
* Assisting the design team in managing their project schedules
* Monitoring project due dates and coordinating with the team to ensure timely delivery
* Liaising with customers, third parties and in-house teams to facilitate project progress
* Providing project administration support to the design team
* Tracking time spent versus budgeted allowances
* Processing purchase orders
* Monitoring workflows within the team to ensure adherence to procedures, refining or implementing new processes as needed
* Performing task checks such as comparing Work In Progress (WIP) with invoiced and paid works.
The role provides essential administrative support to our team, encompassing tasks including but not limited to:
* Answering and directing phone calls
* Document scanning
* Maintaining filing systems
* Managing and responding to new enquiries
* Setting up temporary and new job files
* Data entry
* Scheduling and managing calendar appointments
* Liaison with customers and third parties
