The Opportunity
We are seeking a detail-oriented and proactive Governance & Finance Officer to support the General Manager and Company Secretary in delivering high standards of governance, compliance, and financial administration.
This role provides critical operational and coordination support across board and committee processes, statutory compliance, financial reporting, and executive administration. It ensures the leadership team can focus on strategic priorities while maintaining robust governance and accurate financial management.
Key Responsibilities
Governance & Secretariat Support
* Assist with preparation and distribution of board and committee papers.
* Draft and maintain accurate minutes of meetings.
* Manage statutory registers and ensure compliance with ASIC and other regulatory requirements.
* Support the Company Secretary in governance reporting and policy updates.
Executive Support
* Provide diary management, meeting coordination, and correspondence support for the GM/CoSec.
* Maintain confidential records and filing systems.
Finance Support
* Financial reconciliation of Partner and Commonwealth funds.
* Maintain financial integrity of financial information in operational and business systems.
* Process invoices, expense claims, and purchase orders.
* Assist with budget monitoring and variance reporting.
* Support month-end processes and the generation of Management Accounts.
* Liaise with external accountants and auditors as required.
General Administration
* Maintain accurate records and document management systems.
* Respond to internal and external queries professionally and promptly.
Selection Criteria
* Demonstrated experience in governance or corporate administration.
* Working knowledge of ASIC compliance and board processes.
* Basic accounting or bookkeeping skills (MYOB, Xero, or similar).
* Demonstrated ability to perform basic reconciliation tasks and maintain accurate financial records is required.
* Strong proficiency in MS Office and document management systems.
* High attention to detail and ability to manage confidential information.
* Excellent communication and interpersonal skills.
* Ability to prioritise tasks and meet deadlines in a fast-paced environment.
Qualifications
* Certificate or Diploma in Business Administration, Governance, or Accounting (desirable).
* Experience supporting senior executives and/or boards.
* Familiarity with financial systems and reporting processes.
