Position Overview
The purpose of this position is to provide administrative support to the Sports Department.
Accountability & Reporting Lines
This position reports directly the Director of Sport.
Occupational Requirements & Qualifications
The Sports Assistant must have:
* A Certificate III in Administration or equivalent formal qualifications
* An administration or secretarial background
* A good knowledge of, and genuine interest in, sport.
Experience in coaching youth sports with corresponding coaching qualifications would be highly regarded.

Skills & Competencies
The Sports Assistant must:
* Exhibit diligence and commitment to all aspects of employment including areas such as professional presentation and behaviour, observing confidentiality expectations, approach to and completion of tasks within required timeframes, particularly rostered duty tasks and a commitment to honestly and regularly evaluate personal performance
* Demonstrate a positive and flexible approach to working within a team environment
* Apply excellent interpersonal and communication skills to successfully interact and support staff, coaches, referees, parents and students
* Possess or be able to obtain a good general knowledge of sport practices and equipment requirements
* High level of organisation and time management skills to ensure all deadlines are met and work is prioritised and completed accurately within College requirements under limited supervision
* Ability to follow instructions from various teaching staff efficiently and with flexibility
* Be physically capable of carrying loads, lifting equipment and setting up playing fields and courts
* Possess solid administration skills and be competent in the use of the Microsoft Office Suite
* Be familiar with and meet expectation of all College policies including Child Protection Code of Conduct and Workplace Health & Safety as published on the College Intranet
* Possess strong Microsoft technical skills such as Excel, Forms and PowerPoint. Experience in school software applications is highly desirable (eg Meet Manager, Clipboard, EdSmart and Synergetic).
General Administration
* Initiation and complete follow-through of ACE and EdSmart workflow and processes.
* Events Management spreadsheet – follow-through, maintenance and collaborative workflow patterns.
* Maintenance of annual calendar of sports events across multiple platforms- SchoolBox, Outlook and main whiteboard.
* Maintenance of student data, participation and achievement records on clipboard and synergetic (for periodic transcript publishing).
* Email enquiry responses
* Assistant to Head Athletics coach, Basketball Coordinator and Netball Coordinator
* Athletics, Basketball and Netball General Activities and Club Accounts - prepare/collate & follow-up fee recovery
* Excursion permission and payment systems maintenance and follow-up of students and families as required.
* District Nominations - advertising (personally or by notice), compile and submit paperwork. Follow up and communicate results to successful candidates from 71 Team trials
* Regional and Queensland consent forms and Principal's Approval documentation management in collaboration with the Director of Sport.
* External Bookings - Venue, grounds and referees
* Afternoon Tea - Ordering & Prep Thursday/Friday
* SchoolBox posts – District and Regional Trials
* SchoolBox posts - Afterschool/Holiday program information/flyers
* Photos, Video, AV – Ongoing weekly maintenance, collation and storage of sports media
* Assist with photography of students and staff at sports events
* Instagram Updates for EC Sport and associated accounts – multiple times a week
* Assist with Sport Reception Desk Duty (Phone, Email, Students, Parents, Coaches)
* External Uniforms – assist with distribution to students and record maintenance
* Sports Assemblies and Presentations – assist with set-up and badge/medallion/award/trophy presentations
* Sports Awards Night – guest speaker appearances, flowers, set-up, catering, bookings (in conjunction with the College Advancement Team and the Try-booking online platform), VIP RSVPs, rehearsal assistance & organisation of student helpers
* Assist with compilation of PowerPoint Presentations as required throughout the year
* Assist with compilation of student sports absentee lists for Director of Sport as requested.
Practical Sports Duties
* Assist with maintaining WH&S compliance of sports storage and administrative areas
* Competition transport (school car, 12-seater van and if possible, school bus)
* Assist with supervision at Swimming, Athletics and Triathlon Camps, as required and by negotiation of hours of duty.
Carnival Duties
* Perform Swimming, Cross-Country and Athletics Carnival duties as required (e.g. computer data recording, ribbon writing, place judging)
* Perform official duties, as required, at APS and Regional Swimming, Cross-Country and Athletics Carnivals (e.g. computer data recording, ribbon writing, place judging)
* Coordinate Catering for Major Carnivals and other on-campus sporting events – specifically food and drinks, morning tea and lunch for staff and other carnival officials.
Student Supervision
* On occasion, supervise sporting teams for absent teaching staff
* Carry out student supervision of any nature on behalf of Director of Sport.
Development – Professional and Other
* Demonstrate a willingness to contribute to the spiritual growth and fellowship of the Emmanuel community
* Comply with all College policies and QCT/AITSL Professional Standards
* Demonstrate a commitment to ongoing personal growth and professional development, including in information technology, by diligently undertaking courses and learning opportunities provided or required by the College, as well as through personal initiative.
Other Responsibilities
* Regularly attend Staff Devotions, Worship and Chapel Services, including the Principal's Briefings
* Maintain confidentiality of school matters
* Be aware of and adhere to the requirements of the Child Protection Policy, College Work Health & Safety and other College policies and procedures as found on Schoolbox (the College intranet)
* Perform all other reasonable duties in line with this role as directed from time to time.
