Asset Manager Job Description
This pivotal role is ideal for a professional with demonstrated expertise in end-to-end lease documentation and a proven ability to effectively support both legal and asset management teams. You will play a key role in maximising the performance of significant retail assets across a diverse portfolio, which includes one of Western Sydney's most significant retail properties.
About the Portfolio:
* We have a large, high-traffic retail site in Western Sydney, alongside a growing mix of commercial and industrial properties.
* Our assets include over 150 leases under management and continued growth across asset classes, offering a dynamic, well-resourced environment for an experienced Asset Manager.
The Role:
* You will oversee lease administration, including preparing letters of offer, heads of agreement, and managing lease renewals.
* You will also coordinate rent administration processes, such as rent collection, invoicing, turnover rent calculations, and applying rental increases in accordance with lease terms.
* You will work closely with external lawyers, leasing managers, and property managers to ensure smooth lease renewals and compliance.
* You will assist in budgeting, forecasting, and operational expense management to optimize property performance.
Key Responsibilities:
1. Assist in managing lease administration, including preparing letters of offer, heads of agreement, and lease documentation such as disclosure statements and agreements for lease.
2. Coordinate lease renewals, market reviews, and exercise of lease options, liaising with external lawyers and leasing managers to support negotiations.
3. Oversee rent administration processes, including rent collection, invoicing, turnover rent calculations, and applying rental increases in accordance with lease terms.
4. Support financial reporting and budgeting activities, working closely with the facilities team to forecast operational and capital expenditures.
5. Monitor and review subcontractor services such as cleaning, security, and maintenance, ensuring compliance with schedules and budgets.
6. Collaborate with senior asset managers to assist in managing property performance and stakeholder communications, contributing to long-term asset management strategies.

1. Efficiently managing lease administration and financial reporting to support asset management goals.
2. Accurately processing rent collections, turnover rent calculations, and lease renewals in accordance with lease agreements.
3. Demonstrating strong technical knowledge of leasing documentation and effective coordination with lawyers and leasing managers.
4. Assisting in budgeting, forecasting, and operational expense management to optimize property performance.
5. Providing reliable support to senior asset managers and facilities teams, enabling smooth property operations and strategic decision-making.
Requirements:
* Proven experience in property management, asset management, or a related real estate environment.
* Strong understanding of lease administration, including preparing letters of offer, heads of agreement, and managing lease renewals.
* Demonstrated ability to work closely with external lawyers, leasing managers, and commercial property managers.
* Solid financial acumen with experience in rent collection, turnover rent calculations, and managing operational and capital expenditure budgets.
* Excellent organizational skills with the ability to assist in forecasting income and expenses and reviewing subcontractor schedules.
* Technical proficiency in lease documentation such as Disclosure Statements and Agreements for Lease (AFL).
* Proactive, detail-oriented, and capable of managing multiple priorities in a dynamic, fast-paced environment.
* Relevant qualifications in Property Economics, Accounting, or related fields are highly desirable.
