Position Title: Operations and Events Manager

Hours: Part time (Minimum 20 hours per week - expected to increase based on events with equivalent time off in lieu)

Terms of Employment: One-year contract with potential for an additional one-year contract subject to a three-month probationary review

Organisation Background
Queensland Show Choir is a not-for-profit choral organisation based in Brisbane, Australia, offering multiple choirs across age-ranges from Prep kids to retirees. With a focus on delivering strong artistic and educational outcomes whilst engaging with the community. The Operations and Event Manager (OEM) will join an organisation with a strong reputation, vibrant membership, and growing artistic programmatic ambition.
Position Purpose
The Operations and Event Manager (OEM) is responsible for the day-to-day operational, administrative, and governance functions of the organisation, ensuring that all choir activities and events are supported by efficient systems, sound contracts, compliant governance, and effective stakeholder relationships. The OEM will work collaboratively with the Artistic Director, Executive Committee, administration team, artistic staff, volunteers and external hirers to enable Queensland Show Choir to deliver its mission and strategic objectives.
Key Accountabilities
Leadership
* Collaborate closely with the Artistic Director and Executive Committee to deliver the organisation's artistic vision and implement the Strategic Plan
* Manage relationships with statutory authorities (e.g. ATO, ACNC, Department of Child Safety), including ensuring compliance, preparing funding applications, business plans, and annual reports.
* Manage the administration and events team members and volunteers ensuring respectful, clear communication to enable goals to be met.
Event and Activity Management
* Develop and maintain the annual event calendar (rehearsals, concerts, tours, workshops, hirer bookings) in consultation with the Artistic Director and Management Committee.
* Secure venues for rehearsals, projects, events, and performances across all choirs
* For each event, prepare a detailed "to-do" list (pre-event tasks, event budgets, event day logistics, post-event wrap-up) and monitor progress
* Conduct pre-event meetings with key event staff and review all planning items
* Schedule appropriate interim check-ins for stakeholder assurance.
* Post‐event review: compile event costs and revenues, ensure all invoices paid/received, collate feedback, document and share lessons-learnt with stakeholders
* Collaborate with the artistic team and tour sub-committee to plan, coordinate, and execute all touring logistics—both pre-departure, on-tour and post-tour when required.
Organisational Management
* Oversee the organisation's daily operations to ensure efficient and effective performance, working collaboratively with the operations team to deliver results.
* Manage in collaboration with the Artistic Director, Artistic staff and management committee aspects of corporate bookings for performances
* Ensure compliance with all regulatory, legal, duty of care, and WHS obligations, liaising with legal advisers, insurance brokers, accountants and auditors as required.
* Supervise the preparation and execution of contracts for staff and guest artists.
* Oversee the negotiation of fees and contracts with partners, sponsors, and suppliers for facilities, services, and resources.
* Manage negotiations with external hirers of the QSC venue – framing hire agreements, setting rates, scheduling hires, preparing invoices, ensuring venue conditions, liaising with hirers
Governance
* Provide administrative and governance support to the Executive Committee as required.
* Oversee risk management, governance, and compliance across all organisational activities.
Finance
* Work collaboratively with the Treasurer and Artistic Director to develop the annual operations budget; track actuals against budget and flag variances.
* Oversee the financial management of assigned projects and events, identifying creative and practical solutions to any budgetary constraints.
Human Resources
* In partnership with the Executive Committee, support the administrative team to ensure the effective operation of the organisation.
* Oversee staff induction and performance management processes, to ensure staff and structure align with the organisation's strategic goals.
* Develop and maintain policies and procedures to ensure best practice and compliance.
Development
* Work with the Executive Committee and volunteers to build and maintain relationships with members, sponsors and donors, achieving development revenue targets.
* Oversee all fundraising events and initiatives to ensure successful outcomes.
* Collaborate with the Social Media Manager to ensure relevant details are made available on the organisation's website and/or social media channels when required.
Performance Measures
The OEM performance will be assessed annually against key metrics such as:
* Timely execution of operational tasks (contracts, invoices, venue hire)
* Adherence to financial operations
* Accuracy and timeliness of governance and compliance deliverables
* Smooth delivery of event logistics (no major issues on concert days, positive stakeholder feedback)
* Effective management of venue lease and hirer relationships (e.g., high hire utilisation rate, minimal conflict)
* Maintenance of insurance and risk frameworks without interruption
* Positive working relationships with the Executive Committee, Artistic Director, contractors, volunteers and external stakeholders.
Relationships & Accountability
* The OEM will serve as the principal operations lead of Queensland Show Choir and will be accountable for ensuring the administrative/operational infrastructure supports the artistic mission and strategic goals set by the Executive Committee.
* The OEM will coordinate closely with the Artistic Director to ensure that rehearsal & performance logistics align with artistic timelines.
Additional Information
* Some travel may be required to venues, hire sites, council offices.
* A current driver's licence is desirable.
* The role requires flexibility of hours – performances (usually on weekends) and occasional evening commitments (eg. committee meetings) may be necessary though these will be known and/or communicated well in advance.
* As a youth arts organisation, a child-safe working environment is paramount; the OEM must hold or be willing to obtain valid working with children clearance, and abide by QSC's child-safety policies.
* This Position Description may be reviewed annually or as required by the Executive Committee to reflect changes in organisational scale, strategy, priorities or funding and communicated to the OEM.
Essential Skills & Experience:
* Demonstrated experience in leadership/management, preferably in the arts or not-for-profit sector.
* Exceptional organisational skills and a keen eye for detail.
* Strong communication and stakeholder engagement abilities.
* Ability to self-manage, prioritise and manage multiple tasks, and meet deadlines.
* Financial management skills, including experience with budgeting and tracking of expenses.
* Knowledge of event risk management and compliance.
* Capacity to show initiative and work flexibly, incorporating out of office hours' work (ie. nights and weekends) where required, and balancing the need for deliverables within the time allocated to the position.
* Proficiency in Microsoft Office Suite and Google Workspace Suite.
* Ability to hold Working with Children Blue Card.
* A strong community focus on achieving outcomes through collaboration.
Desirable Skills:
* Experience in the performing arts or choral sector.
* Familiarity with grant writing, fundraising, and sponsorship.
* Experience with ticketing platforms and audience engagement strategies.
* A nationally accredited First Aid certificate is desirable.

Hybrid working is available, however some attendance at our Bowen Hills office and rehearsal studio is preferred.
