The Opportunity:
This is your chance to make a real difference in everyday Aussies’ future. We're seeking a dedicated and client-focused Receptionist to join our team, someone who is committed to delivering exceptional service to both our valued clients and internal team members.
In this role, you'll be the first point of contact, ensuring a welcoming and professional experience for all clients and visitors.
The Receptionist is responsible for ensuring the smooth operation of the firm's client-facing and administrative activities, including managing incoming calls, greeting visitors, coordinating meeting room setups, arranging catering, overseeing office supplies, handling mail and courier services, archiving files and providing general administrative support across the firm.
This role plays a key part in our continued commitment to helping everyday Australians reclaim their future and building Aussie Injury Lawyers into the leading plaintiff insurance firm in Australia.
Responsibilities:
* Handle new client enquiries in a professional and timely manner
* Manage multi-line phone systems to handle incoming calls, direct inquiries and take accurate messages.
* Utilise Microsoft Office Suite (Word, Excel, Outlook) for document preparation, data entry and email correspondence.
* Schedule and coordinate appointments and meetings using calendar management tools.
* Operate office equipment to support daily administrative tasks.
* Maintain and update client records in electronic databases, ensuring accuracy and confidentiality.
* Monitor and order office and kitchen supplies to ensure adequate stock levels.
* Handle incoming and outgoing mail, including sorting, distributing and coordinating courier services.
* Set up and tidy meeting rooms, including arranging catering and necessary materials.
* Provide general administrative support across the firm, such as filing, archiving and assisting with document preparation

Qualifications:
* Minimum 1 to 2 years of relevant experience in customer service, administration, or front desk roles.
* Excellent communication skills, both written and verbal, with the ability to explain complex information in a clear and supportive way
* A genuine enthusiasm for delivering exceptional client service and ensuring positive outcomes.
* Comfortable liaising with clients and colleagues in a professional and approachable manner
* Ability to work effectively both within a team environment and independently, demonstrating initiative and reliability.
* Proficient in Microsoft Office Suite and knowledgeable about client management systems
* A collaborative, solutions-focused mindset and commitment to delivering positive outcomes for clients
