Overview

Sharpe Trade Services & Energy Solutions, based in Thebarton on Port Road, is seeking a proactive and highly organised Operations Coordinator – Air Conditioning to help drive the smooth and efficient running of our fast-paced service division.

Applicants must have a minimum of five years' experience in the air conditioning industry. This may be in a sales, business development, or technical role, including qualified technicians seeking to transition off the tools.

This role suits someone who thrives on keeping technical operations moving, coordinating field teams, managing job flow, and acting as a central communication hub between the office, technicians, suppliers, and customers. You'll play a key role in ensuring our HVAC and gas fitting service teams are supported, customer enquiries are handled promptly, and all operational processes meet a high professional standard.

This position goes well beyond standard administration. You'll take ownership of daily office operations, scheduling and workflow coordination, job documentation, and continuous improvement of our service systems. Your work will directly support the delivery of safe, compliant, and high‐quality trade services across residential and commercial clients.

Key Responsibilities

* Coordinate day-to-day office operations, ensuring the workspace, systems, and processes run efficiently.
* Manage inbound calls and customer enquiries, providing professional, timely support and directing queries appropriately.
* Oversee job scheduling and workflow allocation for technicians, ensuring efficient routing and minimal downtime.
* Monitor job progress, follow up on outstanding tasks, and ensure accurate documentation is completed.
* Input, maintain, and verify data across internal systems (e.g., job management software, CRM, compliance records).
* Prepare reports, job summaries, and operational documentation for management.
* Assist with accounts administration, such as purchase orders, supplier coordination, and basic invoicing support.
* Coordinate communication between office staff, field technicians, management, and customers.
* Provide high‐level administrative support to management as required.

About You

You will succeed in this role if you are organised, confident, and able to keep multiple moving parts under control. You enjoy being a "go-to" person in the office and take pride in running a tight ship.

You will bring

* Experience in an administrative, scheduling, or operations support role (trade or service industry experience highly regarded).
* A minimum of 3–5 years of administrative or operations support experience.
* Strong communication skills and a professional phone manner.
* Excellent organisational and multitasking abilities.
* High attention to detail and accuracy in data entry and documentation.
* Confidence using job management or CRM systems (e.g., SimPRO, AroFlo, ServiceM8, or similar).
* Essential experience with job management or CRM systems is required.
* Ability to work independently, prioritise tasks, and take ownership of outcomes.
* A proactive mindset with a willingness to improve processes and support the wider team.
