Hays Recruitment are proud to be partnering with a dynamic and growing family office with various business interests both here in Tasmania and globally. This isn't your typical family office, one day the director will be in an executive meeting or travelling for an international business event, then they could be on the farm in Tasmania, no two days are the same! Due to diversifying their businesses they are on the lookout for a dynamic, motivated, and highly organised Executive Assistant to join their team on a full-time permanent basis.
Your new role
Because this isn't your typical family office, it means this is not your typical Executive Assistant role - one day you might be in meetings taking minutes or booking travel, and the next you could be out on the farm assisting the Director with planning and logistics or travelling interstate with them for a client meeting. The key responsibilities will be varied and not limited to;
Property Management & Development:
* Liaise with contractors across all properties and oversee budgetary requirements
* Ensure quarterly/annual property inspections and maintenance
* Coordinate with external property management for Airbnb properties
* Maintain consistent Airbnb bookings
* Manage property maintenance and development
Executive Support:
* Manage calendar and email inbox
* Book travel arrangements, including flights and accommodation
* Travel with the family as needed
* Provide personal assistance (e.g., collection of items, gifts, postal needs)
* Attend meetings and take minutes
Strategic Development:
* Proactively plan for future business development outcomes
* Establish foundations and scaffolding to allow businesses to scale in line with strategic objectives
* Nurture external relationships on behalf of the Director with third parties and within the internal business
What you'll need to succeed
As the successful candidate you will have demonstrated experience as an Executive Administrator or Senior Administrator and be able to demonstrate adaptability, initiative and the ability to think ahead. You'll need to work well under pressure, balancing competing demands and interruptions. You'll also have the following;
* Proven ability to interact effectively with internal and external stakeholders in a professional manner.
* Very high level of confidentiality, discretion and judgement
* Be self-motivated and have an extremely high level of initiative
* Strong knowledge across software packages including Microsoft Office Suite, and the ability to learn in-house systems quickly.
* Highly organized with the ability to adapt to a fast-paced and ever-changing environment
* A team player who can also work autonomously
* Strong communication and interpersonal skills
* Experience in property management and executive support is highly desirable
