About the Role
We are looking for a friendly and organised Receptionist / Administration Officer to join our small, supportive team on a part-time basis, working between 20 and 30 hours per week across five days. Hours are flexible and we are open to discussing an arrangement that works for the right candidate.
This is a front-of-house role where you will be the first point of contact for our clients — by phone, email and in person. You will also provide essential administrative support to keep our practice running smoothly day to day.
What You'll Be Doing
Reception & Client Service
* Answer incoming calls promptly and professionally
* Greet clients and visitors, ensuring a welcoming experience
* Manage voicemail and the office email inbox
* Book client meetings and manage staff calendars
Mail & Document Management
* Check and process incoming mail; arrange outgoing mail and couriers
* Bind financial statements and prepare document packs
* Send documents for signing via digital signing platforms
* File documents accurately (electronic and physical)
Administration & Compliance Support
* Accurately enter and maintain client data in HandiSoft and Xero
* Raise client invoices in accordance with internal billing procedures
* Handle ASIC correspondence and distribute to relevant team members
* Assist with day-to-day office tasks to support workflow and efficiency
What We're Looking For
Essential
* Strong verbal and written communication skills
* Professional phone manner and a genuine client-service focus
* High attention to detail and accuracy in data entry
* Proficiency with Microsoft Office (Outlook, Word, Excel)
* Excellent organisational skills and ability to juggle competing priorities
Desirable
* Experience using HandiSoft or a similar practice management system
* Previous experience in accounting, legal or financial services
* Familiarity with ASIC documentation and processes
