About the Role:
The People and Culture Administrator (0.8 FTE) is an essential role that provides administrative support across the entire employment and volunteer lifecycle at the ASRC. Reporting to the Head of People and Culture, this role will be the engine room of the team. A role with variety meaning one day you'll be issuing contracts and the next, meeting our staff in our induction program, assisting our managers to recruit volunteers into their teams.
Based in Footscray, this position offers a unique opportunity to blend technical systems administration with meaningful human connection. This role will act as a first line of support for staff, managers and volunteers, ensuring our team is equipped to deliver essential services to people seeking refuge and asylum in Australia.

Key Accountabilities:
As the People and Culture Administrator, you will be responsible for providing high-quality administrative support across the entire workforce lifecycle. Your core duties will include:
* Workforce Lifecycle Administration: Oversee smooth operations for staff and volunteers, ensuring compliance with legislation and policy through accurate documentation and record-keeping.
* Recruitment and Onboarding Administration: Support managers by preparing and posting job advertisements, assisting in selection processes and coordinating induction programs.
* Systems and Compliance: Serve as the systems administrator for online compliance training and incident/hazard systems, while ensuring workforce data remains accurate and updated in the database.
* Work Health and Safety: Provide essential support to the WHS function by collating data, filing records and organizing meetings and training sessions.
* Volunteer Engagement: Manage communications with potential and current volunteers and their managers, while supervising P&C team volunteers to ensure work meets required standards.
* Offboarding: Coordinate the offboarding process for staff and volunteers, ensuring all data is accurate and processed in a timely manner.
* Process Improvement and Reporting: Identify and implement improvements to administrative workflows and provide regular or ad-hoc workforce data reports.
* Event Coordination: Assist in organising key workforce events, including National Volunteer Week, briefings, inductions, and end-of-year celebrations.
* Strategic Project Support: Contribute to various projects that align with the ASRC's strategic People and Culture priorities.
About You:

Specifically, we are looking for:
* Excellent written and verbal communication skills - being the key communication between potential staff and volunteers you will put our best foot forward from the start of the employment process.
* It's a given that you have excellent MS Office, email management and web-based software skills - and if you have previous experience with Salesforce, Job Adder, Flare HR that is highly valued.
* Excellent time-management skills and prioritisation skills - there's a bit to juggle in this role
* Administrative Excellence: Proven experience maintaining high administrative standards and managing complex program practices.
* Strong Attention to Detail: A demonstrated ability to ensure accuracy across workforce data, record keeping, and documentation.
* People Skills: Strong interpersonal skills and the ability to supervise and delegate tasks to volunteers and work with both internal and external stakeholders.
* Relevant Background: While not essential, tertiary study in HR or Business would be highly desirable or experience in a similar role.
Lived experience of seeking asylum in Australia is highly desirable as is knowledge of policy and issues impacting on people seeking asylum in Australia.
