POSITION OVERVIEW
As a Technical Project Coordinator, you will play a vital role in supporting the planning, execution, and completion of technical projects within our organisation.
Your responsibilities will include coordinating tasks, managing resources, and ensuring effective communication among team members and stakeholders. You will work closely with project managers, technical teams, and clients to ensure projects are delivered on time, within scope, and to the desired quality standards.
Key Responsibilities
Customer Engagement
* Collaborate with project teams to interpret customer briefs and define project requirements.
* Support the business development process by contributing to proposal responses and client presentations.
* Attend client meetings to assist the Project Manager in capturing discussions, documenting actions, and ensuring follow-up.
Project Coordination
* Assist in developing and maintaining detailed project plans, schedules, and budgets.
* Monitor project activities to ensure alignment with objectives and timelines.
* Track progress against milestones and deliverables, providing regular updates to stakeholders.
Communication & Collaboration
* Facilitate clear and consistent communication among project teams, clients, and stakeholders.
* Prepare meeting agendas, take minutes, and ensure timely distribution and follow-up on action items.
Resource Management
* Support the allocation and coordination of project resources including personnel, equipment, and materials.
* Liaise with technical teams to ensure resource availability and optimal utilisation.
* Monitor resource usage and proactively identify potential constraints or bottlenecks.
Documentation & Reporting
* Maintain accurate and up-to-date project documentation, including plans, schedules, reports, and risk registers.
* Assist in preparing and distributing regular project status reports.
* Ensure proper archiving and accessibility of all project documentation.
Issue & Risk Management
* Identify and document project risks and issues, and assist in developing mitigation strategies.
* Track and monitor resolution efforts, escalating critical concerns as necessary.
* Support proactive risk management to ensure project continuity and success.
Quality Assurance
* Contribute to ensuring deliverables meet defined quality standards and client expectations.
* Coordinate with QA teams to conduct reviews and inspections.
* Assist in implementing corrective actions to address quality concerns.
Health & Safety
* Promote and maintain a safe and healthy work environment in line with company policies and legislative requirements.
* Take reasonable care for personal health and safety and that of others.
* Comply with all safety instructions, policies, and procedures.
* Participate in health and safety consultations and initiatives.
