Personal Assistant to the Director of Property Management


Ray White TJG – Box Hill's #1 Rental Agency

Are you organised, proactive and passionate about real estate? This is a rare opportunity to work directly alongside Tina Jaura, Director of Property Management, and become an integral part of the powerhouse team behind Box Hill's #1 rental agency.

As a Personal Assistant, you will support Tina across day-to-day operations, client communication, high-level administration, and property management activities. This hands-on role offers invaluable exposure to the full spectrum of real estate operations while allowing you to grow within an experienced and supportive team.

You will work closely with property managers across Ray White TJG's Rouse Hill, Box Hill & Gables offices, ensuring seamless workflow, exceptional service delivery, and continued excellence within our industry-leading rental division.

Key Responsibilities



Personal Assistant & Administrative Support

* Manage Tina's calendar, appointments, emails, and daily workflow to ensure smooth operations.
* Prepare reports, meeting notes, presentations, and documentation as required.
* Maintain databases, files, compliance documentation, and internal records with accuracy.
* Coordinate internal communication between Tina, the property management team, and clients.
* Assist in planning meetings, team events, and training activities.
* Handle confidential information with utmost professionalism and discretion.


Client & Stakeholder Communication

* Respond promptly to queries, resolve concerns, and provide exceptional customer service.
* Provide regular updates regarding property activity, inspections, and market changes.


Property Management Support

* Attend and conduct routine tasks such as property viewings, inspections, and tenant matchups.
* Assist in processing tenancy documentation, checks, and compliance items.
* Support with ingoing inspections and documentation once a property is leased.
* Prepare property listings, marketing materials, and advertisements.
* Collaborate closely with the property managers to develop a deeper understanding of real estate best practices.


Operational Efficiency

* Ensure Tina is supported with timely updates, organised schedules, and clear workflow processes.
* Identify opportunities to improve team productivity and client experience.
* Maintain strong attention to detail and follow-through on all tasks.

Qualifications & Experience

* Prior experience in real estate or administration is preferred but not essential.
* Highly organised, detail-oriented, and motivated to learn quickly.
* Exceptional communication and interpersonal skills.
* Professional presentation and confidence when interacting with clients.
* Ability to multitask in a fast-paced environment.
* A valid driver's licence and reliable vehicle (required for property-related tasks).
