Summary:
We are seeking a highly motivated and detail-oriented Purchasing, Administration, and Sales Officer to join our team in a dynamic, evolving role. Initially, this position will serve as a maternity leave backfill for our current Purchasing Officer, taking on full responsibility for procurement processes. Once the Purchasing Officer returns, the role will transition into a permanent Administration and Sales support position.
The successful candidate will be a proactive, organised individual who can manage procurement tasks, provide strong administrative support, and assist in sales operations. This position works closely with suppliers, customers, and internal departments to ensure efficient operations, timely delivery of goods and services, and support for ongoing sales activities.
Responsibilities:
* Purchasing (Initial Phase):
* Develop and implement purchasing strategies in line with company objectives
* Identify, evaluate, and negotiate with suppliers for optimal terms and pricing
* Manage the end-to-end procurement process: purchase orders, invoicing, and delivery scheduling
* Liaise with internal departments to meet purchasing requirements and ensure timely fulfillment
* Monitor and maintain appropriate stock and inventory levels
* Assess supplier performance and recommend improvements
* Administration & Sales (Ongoing Responsibilities):
* Provide general administrative support including data entry, document management, and report preparation
* Assist in office coordination and communication across departments
* Support the sales team by preparing quotes, processing sales orders, and liaising with clients
* Track sales performance and customer feedback to improve service and reporting
* Maintain up-to-date records in sales and administrative systems
* Stay informed of industry trends in purchasing, sales, and office administration
Qualifications:
* Bachelor's degree in business, supply chain management, or a related field
* Proven experience as a Purchasing Officer or in a similar role
* Strong negotiation and communication skills
* Excellent organizational and time management skills
* Ability to work independently and as part of a team
* Proficient in Microsoft Office and purchasing software
