An exciting opportunity has arisen for a Portfolio Management Office Analyst to join a highly respected government department in Brisbane, supporting the implementation of a major procurement policy initiative through to April 2026, with the possibility of extension. This role is pivotal in ensuring the successful delivery of programs and projects by providing expert governance, insightful reporting, and analytical support across a diverse portfolio. What You'll Do
As a Portfolio Management Office Analyst based in Brisbane, you will play an integral part in supporting the establishment and ongoing success of a major government procurement policy implementation. Your day-to-day responsibilities will see you collaborating closely with program teams to embed best practice governance frameworks while developing innovative solutions for performance monitoring and risk management. You will take ownership of designing user-friendly tools and templates that streamline project initiation through to benefits realisation. By maintaining central registers for risks and issues as well as configuring digital platforms like Microsoft Project Online and Power BI dashboards, you will enable transparent reporting and data-driven decision-making. Your ability to deliver engaging training sessions ensures that all stakeholders are equipped with the knowledge needed to succeed. Through your efforts in preparing comprehensive status reports and facilitating continuous process improvements based on feedback from colleagues across the department, you will help drive positive change that supports both organisational goals and community outcomes.

* Develop and implement robust governance frameworks for portfolio management office operations, including performance monitoring, risk management, tracking, and benefits realisation.
* Support the creation and ongoing maintenance of a comprehensive three-year portfolio roadmap to ensure alignment with strategic procurement objectives.
* Design, develop, and roll out standardised tools and templates for project initiation, risk management, reporting processes, gate reviews, and benefits realisation activities.
* Maintain a centralised risk and issues register for the entire portfolio to ensure timely identification, tracking, escalation, and resolution of risks and issues as they arise.
* Lead the development and implementation of benefits management frameworks and initial benefits realisation plans while tracking progress across all programs.
* Configure Microsoft Project Online to establish a complete portfolio setup encompassing all relevant programs and projects for seamless oversight.
* Create interactive Power BI dashboards that provide real-time insights into portfolio performance metrics for stakeholders at all levels.
* Deliver training sessions and ongoing support to program and project teams on using standardised tools, risk management techniques, reporting protocols, and benefits realisation strategies.
* Monitor the application of gate review processes across all projects to ensure consistent adherence to approved frameworks and standards.
* Prepare detailed portfolio status reports highlighting progress updates, emerging risks or issues, key decisions required, and actionable recommendations for senior leadership.

What You Bring

* Demonstrated experience working within a PMO or project/portfolio management environment—ideally within government or public sector settings where collaboration is essential.
* Proficiency in using project management software such as Microsoft Project Online alongside advanced skills in Power BI dashboard creation for effective data visualisation.
* Comprehensive understanding of project management methodologies (such as PRINCE2 or Agile) as well as portfolio management frameworks (including P3O).
* A proven track record supporting governance activities including reporting cycles, risk identification processes, issue escalation procedures, and compliance monitoring.
* Experience implementing new project management tools or processes—including configuration tasks as well as delivering training or support to end users.
* Strong analytical abilities enabling you to interpret complex data sets accurately while generating actionable insights through high-quality written reports.
* Flexibility to adapt quickly when priorities shift or requirements evolve—demonstrating resilience under pressure without compromising attention to detail.
* Excellent interpersonal communication skills allowing you to build trust-based relationships with colleagues from diverse backgrounds while fostering an inclusive team culture.
* Ability to identify dependencies between projects or workstreams—proactively recommending practical solutions that mitigate potential risks or delays.
* Exposure to benefits realisation frameworks with hands-on experience tracking progress against defined targets is highly desirable.
